Job Description &ndash; Warehouse Executive (Purchase / Billing / Packing) &ndash; PharmaJob Title: Purchase/WH Executive (Purchase / Billing / Packing)Department: Supply Chain / Warehouse OperationsLocation: ChennaiReporting To: Warehouse Manager / SCM ManagerRole SummaryThe Warehouse Executive will be responsible for managing procurement, performing billing operations, and handling packing &amp; dispatch activities in compliance with pharmaceutical Good Distribution Practices (GDP). The role requires coordination across purchase, accounts, warehouse, and logistics teams to ensure smooth daily operations.Key Responsibilities1. Purchase (Procurement)<ul><li>Raise and process Purchase Orders (POs) for pharmaceutical products, consumables, and packing materials.</li><li>Coordinate with suppliers for rates, availability, deliveries, and resolve shortages.</li><li>Emergency/Local Purchase and deliver Immediate to Branches.</li><li>Monitor stock (fast/slow-moving), maintain minimum levels, and avoid expiries/overstocking.</li><li>Maintain supplier records and track OTIF (On-Time In-Full) deliveries.</li></ul>2. Billing<ul><li>Prepare customer invoices, e-invoices, credit notes, and e-way bills.</li><li>Ensure billing accuracy for batch number, expiry date, MRP, GST slab, HSN code, and customer scheme rates.</li><li>Coordinate with dispatch team to clear billed orders on time.</li><li>Resolve customer issues related to invoices, returns, expiry claims, and short supply.</li></ul>3. Packing &amp; Dispatch<ul><li>Pick and pack orders following FEFO, batch/expiry rules, and GDP guidelines.</li><li>Ensure accurate quantity, batch, and product selection before packing.</li><li>Prepare cartons, affix correct shipping labels and ensure safe, neat packing.</li><li>Pack cold-chain items as per SOP (gel packs, insulated boxes).</li><li>Coordinate with billing and logistics to hand over packed orders for dispatch.</li><li>Maintain cleanliness, safety, and compliance in the packing area.</li></ul>Documentation &amp; Compliance<ul><li>Maintain logs for purchase, invoices, packing slips, and dispatch registers.</li><li>Follow all SOPs, GDP, GSP, and audit requirements (internal/external).</li><li>Support periodic stock audits and verification.</li></ul>Qualifications &amp; SkillsEducation<ul><li>Minimum D.Pharm / B.Com / B.Sc / B.Pharm (Preference for Pharma/Procurement background).</li></ul>Experience<ul><li>1&ndash;4 years in a pharma warehouse, distribution centre, or retail/wholesale pharmacy.</li><li>Experience in purchase + billing + packing preferred.</li></ul>Technical Skills<ul><li>Knowledge of batch management, FEFO, GST, HSN, e-way bill portal.</li><li>Hands-on experience with ERP/Inventory Software (Marg, Tally, SAP, Oracle, etc.).</li><li>Basic MS Excel &amp; email communication.</li></ul>Soft Skills<ul><li>Attention to detail</li><li>Time management</li><li>Multi-tasking ability</li><li>Coordination &amp; communication</li><li>Ability to work under pressure</li></ul>Key Performance Indicators (KPIs)<ul><li>Purchase accuracy &amp; supplier OTIF rate</li><li>Billing accuracy (zero invoice errors)</li><li>Packing accuracy &amp; on-time dispatch</li><li>Stock availability &amp; minimum expiry losses</li></ul>Job Type: Full-timePay: &#8377;20,000.00 - &#8377;40,000.00 per monthWork Location: In person
