he HR Coordinator plays a key role in supporting the day-to-day operations of Heatherwood&rsquo;s Human Resources department. This position provides hands-on assistance across a range of HR functions, including recruitment, onboarding, employee engagement, benefits administration, and compliance.
This is a full-time, in-person role based in our Commack, NY office. The HR Coordinator will work closely with the HR team and other departments to ensure smooth operations and exceptional employee support.
The ideal candidate has strong attention to detail, excellent communication skills, and the ability to balance administrative responsibilities with collaborative project work. Key Responsibilities 
Recruitment &amp; Onboarding<ul><li>
Coordinate candidate interviews, communications, and scheduling.</li><li>
Prepare onboarding materials and ensure completion of new-hire paperwork.</li><li>
Support new-hire orientation logistics, including room setup, IT coordination, and materials distribution.</li></ul>
General HR Operations<ul><li>
Provide responsive customer service to employees regarding HR policies and procedures.</li><li>
Maintain HR files, shared drives, and templates.</li><li>
Assist with HR audits, reporting, and special projects assigned by leadership.</li></ul>
Employee Relations &amp; Engagement<ul><li>
Track probationary periods, performance reviews, and follow-up actions.</li><li>
Support employee recognition programs and HR-led initiatives.</li><li>
Draft employee communications such as memos, announcements, and newsletters.</li></ul>
Training &amp; Development<ul><li>
Track training completion, participation, and compliance requirements.</li><li>
Assist with scheduling and logistics for internal or external training sessions.</li></ul>
Administrative Support<ul><li>
Manage the HR inbox and route inquiries appropriately.</li><li>
Maintain HR calendars, deadlines, and department events.</li><li>
Reconcile monthly benefit invoices for medical, dental, vision, and ancillary offerings.</li><li>
Review and sort daily mail for the team.</li><li>
Prepare last day worked paperwork for termed employees.</li><li>
Order supplies or materials (e.g., uniforms, folders, onboarding kits).</li><li>
Support HR event coordination including open enrollment, employee meetings, and company celebrations.</li><li>
Provide support to other members of the department with various tasks and projects as needed.</li></ul>
Requirements:

Skills &amp; Qualifications<ul><li>
Excellent organization, attention to detail, and time management skills.</li><li>
Strong written and verbal communication skills.</li><li>
Professional demeanor and ability to maintain confidentiality.</li><li>
Customer service mindset and ability to interact with employees at all levels.</li><li>
Foundational knowledge of HR policies, practices, and employment laws, is a plus.</li><li>
Experience using HRIS systems (Paylocity preferred), is a plus.</li><li>
Basic understanding of benefits, leave programs, and compliance requirements (FMLA, PFL, DBL, ACA, COBRA, Workers&rsquo; Compensation), is a plus.</li></ul>
Education<ul><li>
Associate&rsquo;s or Bachelor&rsquo;s degree in Human Resources, Business Administration, or related field preferred.</li><li>
Equivalent HR or administrative experience may be considered in lieu of a degree.</li></ul>
