<div><div>In this role as a Facility Supervisor, you will be responsible to assist the Director in all matters related to Administration Department&rsquo;s services to all business units of the company. You will serve as a contact point for employees based in Qatar, providing guidance and assistance on various administrative matters. This role offers many cross functional and cross-cultural working relationship.</div><div></div><div>
Here are some key responsibilities to look forward to:</div><ul><li><div>
Planning and coordinating administrative procedures and systems and streamline processes.</div></li><li><div>
Supervising day-to-day operations of the administrative department and staff members.</div></li><li><div>
Various Approvals as per Authorization Matrix.</div></li><li><div>
To follow-up, the company's official documents like the licenses and official certificates and ensure its validity.</div></li><li><div>
Vendors Allocation for all required internal services for office &amp; factory.</div></li><li><div>
Official &amp; Public Authorities relationships, regular visits and communication.</div></li><li><div>
Maintains an effective filing system for handling a variety of documents and reports.</div></li><li><div>
Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.</div></li><li><div>
Monitor inventory of office, stationary &amp; canteen supplies and the purchasing of new material with attention to budget.</div></li><li><div>
Ensure the smooth and adequate flow of information within the company to facilitate other functions operations.</div></li><li><div>
Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions/workshops.</div></li><li><div>
Assessing internal staff performance and provide coaching and guidance to ensure maximum efficiency</div></li><li><div>
Verifies suppliers&rsquo; invoices and identify allocation of costs for cross-charging purposes.</div></li><li><div>
To provide administration support to all employees by providing smart solutions for work problems</div></li><li><div>
Shall perform other related jobs/ tasks as required.</div></li><li><div>
Ensure compliance with local regulatory HSE requirements</div></li><li><div>
Identify potential and actual areas of improvement and assist in setting and formulating goals and tools for their achievement.</div></li><li><div>
Conducts &amp; Monitor HSE audits (Safety Walk, Near Miss, Sustainability &amp; waste mapping).</div></li><li><div>
Assists in the implementing and maintaining of the certification of ISO 9001, OHSAS 18001 and ISO 14001.</div></li></ul><div></div><div>
Furthermore, we expect that you have</div><ul><li><div>
University Degree in Business Administration or relative field.</div></li><li><div>
Proven experience as Executive Secretary or similar administrative role.</div></li><li><div>
Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook and Excel).</div></li><li><div>
Proficiency in English.</div></li><li><div>
Exemplary planning and time management skills.</div></li><li><div>
Up to date with advancement in office gadgets and applications.</div></li><li><div>
Ability to multi-task and prioritize daily workload.</div></li><li><div>
High level of verbal and written communications skills.</div></li><li><div>
Discretion and confidentiality.</div></li></ul><div></div><div>
