<div><div><p>The Senior Officer &ndash; Event Management is responsible for supporting with the organisation and execution of major HCT events, searching for potential speakers, caterers and venues. He/she also is responsible to support with the preparation of pre-event status reports and post-event reports as well as supporting with evaluation surveys to enhance quality of HCT events.</p>
<p>
Duties and Responsibilities</p>
<ul>
<li>Propose events to be included in the annual event calendar.</li>
<li>Support with the organization and execution of major system-wide events (including national Holidays, graduation ceremonies, HCT conferences, etc.) through collaboration with all internal and external stakeholders.</li>
<li>Support the planning of events including timeline, content, registration arrangements, travel arrangements, etc.</li>
<li>Propose themes, programs, marketing needs and logistics for each event.</li>
<li>Liaise with potential speakers to collect their biographies.</li>
<li>Support with the research in order to select the best venue, as and when needed, for each event.</li>
<li>Support with the research to provide the best packages for caterers, Specialist &ndash; Photography and Specialist &ndash; Video Producer.</li>
<li>Support in the preparation of reports related to the events&rsquo; costs.</li>
<li>Support with the drafting of regular pre-event status reports and post-event reports.</li>
<li>Participate in the surveys conducted by asking to fill in an online evaluation feedback form or distribute at the end of the event an evaluation form to enhance the quality of HCT events.</li>
<li>Support in solving the conflict related to delayed events and ensure the smooth run of the event.</li>
<li>Update records and reports for all HCT events.</li>
<li>Participate in the dismantling and removal of the event and efficient clearance of the venue.</li>

1) Applied Research Quality Management System (QMS) and Stage-Gates<br>
<ul><li>Design, implement, and maintain an applied research Quality Management System aligned to HCT&rsquo;s applied research context.</li><li>Define lifecycle stage-gates (pre-award, award acceptance, kick-off, execution reviews, reporting, close-out), including minimum quality criteria for each gate.</li><li>Establish standard operating procedures (SOPs), checklists, and quality standards for project artifacts (plans, risk registers, progress updates, deliverables acceptance, close-out packs).
</li></ul>2) Project Delivery Assurance (PMO Functions Embedded into QA)<br>
<ul><li>Function as the day-to-day delivery assurance lead across the applied research portfolio, ensuring consistent project planning and controls.</li><li>Coach PIs and project teams on work breakdown structures, schedules, milestones, KPIs, risk registers, change control, and reporting discipline.</li><li>Facilitate kick-offs, periodic project reviews, stage-gate panels, and close-out quality reviews, escalating delivery risks early.
</li></ul>3) Research Operations Quality (Pre-Award and Post-Award Service Quality)<br>
<ul><li>Standardize and improve pre-award support quality: proposal completeness checks, budget accuracy validation support, sponsor requirement interpretation support in partnership with operations and compliance.</li><li>Standardize and improve post-award service quality: grant set-up readiness, milestone tracking consistency, reporting quality, and close-out completeness, ensuring smooth execution for faculty.
</li></ul>4) Digital Quality and Data Integrity in RMS and Project Tooling<br>
<ul><li>Define and enforce data quality standards for core applied research records (projects, milestones, deliverables, evidence attachments, reporting fields).</li><li>Partner with RMS owners and administrators to implement workflow controls that support quality stage-gates, required artifacts, and portfolio reporting.</li><li>Maintain a practical template and toolset library (project templates, dashboards, trackers, risk logs), ensuring consistent usage across campuses.
</li></ul>5) KPI Frameworks, Dashboards, and Portfolio Performance Reporting<br>
<ul><li>Own applied research delivery and quality KPIs (on-time milestones, deliverable acceptance rates, reporting punctuality, rework rates, cycle times, service SLAs, portfolio health).</li><li>Produce portfolio dashboards and consolidated leadership reporting, including sponsor-ready progress summaries when required.</li><li>Provide structured insights that support institutional reporting, accreditation narratives, and decision-making for resourcing and prioritization.
</li></ul>6) Continuous Improvement, Training, and Capability Building<br>
<ul><li>Run continuous improvement cycles (lessons learned, root-cause analysis of delays and rework, template updates, process refinements).</li><li>Develop and deliver short trainings and onboarding for faculty, staff, and student teams on applied research delivery standards and tools.</li><li>Build a quality culture that increases predictability, reduces avoidable rework, and improves faculty experience with research support services.</li></ul></div><p><br>

<ul><li>Education:</li></ul>
o Bachelor&rsquo;s degree in Engineering, Science, Business, Quality Management, Project Management, or related field.<br>
o A master&rsquo;s degree in a relevant discipline is preferred.<br>
<ul><li>Certifications:</li></ul>
o Quality: ISO 9001 (or equivalent) lead implementer/auditor, Lean Six Sigma (Green Belt or higher), or equivalent quality credential.<br>
o Project delivery: PMP, PRINCE2, IPMA, Agile/Scrum (beneficial).<br>

The Manager, Applied Research Compliance is responsible for ensuring the integrity, accountability, and transparency of HCT's applied research activities in line with institutional, national, and sponsor regulations. Reporting to the Senior Manager, Applied Research, this role oversees compliance across the research lifecycle, with a focus on documentation quality, risk controls, policy adherence, and process transparency.<br>
The Manager works closely with Principal Investigators (PIs), faculty, and administrative staff across all campuses to monitor project and grant activity, ensure proper documentation and audit readiness, and proactively address non -compliance risks. A critical element of this role is proficiency in and ownership of HCT's Research Management System (RMS), ensuring compliance workflows and review protocols are embedded and operationalized within the system.<br>
This position is essential to maintaining HCT's eligibility and reputation with funding bodies and accreditation entities and to building a sustainable, responsible research culture across the institution. To this end, he works with Principal Investigators (PIs), research staff, procurement, the commercialization team, the PMO and external stakeholders by:<br>
Managing Research Compliance across the Lifecycle, e.g.<br>
Reviewing research proposals, budgets, and agreements for<br>
Monitoring project milestones, reporting obligations, and financial compliance du ring project execution.<br>
Supporting close-out processes to ensure deliverables, documentation, and financial reporting are fully reconciled.<br>
Ensuring Policy Alignment and Operational Controls, e.g.<br>
Translating internal policies and external funder requirements into operational checklists and tools.<br>
Designing and deploying internal compliance review mechanisms and alerts for key risk areas.<br>
Liaising with finance, legal, procurement, and internal audit to ensure consistency in interpretation of terms and procedures. Maintaining Compliance Infrastructure in the RMS, e.g.<br>
Acting as compliance lead for the Research Management System (RMS), including workflow validation and Level 2 user support.<br>
Monitoring data integrity in grant, milestone, and reporting fields; ensuring audit trails and attachments are in place.<br>
Advising RMS system owners and administrators on necessary updates to support evolving compliance requirements.<br>
Monitoring &amp; Reporting of Research Compliance KPIs, e.g.<br>
Tracking compliance-related KPls such as submission delays, policy deviations, and audit non -conformities.<br>
Maintaining dashboards and reports to identify recurring issues and su pport decision -making.<br>
Contributing compliance-related data and narrative for institutional reports and accreditations.<br>
Supporting Training and Awareness, e.g.<br>
Supporting the development and delivery of research compliance training for faculty and research staff.<br>
Maintaining awareness resources and FAQs within the RMS or intranet.<br>
Contributing to knowledge-sharing activities and continuous improvement in itiatives.<br>
