Role Overview</h3>
We're looking for a Creative Project Coordinator VA who can keep creative projects on track, teams aligned, and assets well-organised. You'll sit at the intersection of project management and marketing support &mdash; owning timelines, coordinating deliverables, and jumping in on light design production when needed in a fast-moving creative company.<h3 class="jobSectionHeader"> 
Key Responsibilities</h3><ul><li>
Manage project workflows in Asana (or similar): task creation, assignment, status updates, and deadline tracking</li><li>
Coordinate cross-team handoffs between marketing, design, and operations to keep projects moving</li><li>
Maintain organised campaign asset libraries &mdash; versioning, naming, and storage in Google Drive</li><li>
Support light design production using Canva templates (graphics, resizing, formatting, exports)</li><li>
Build and maintain internal documentation: SOPs, project briefs, and onboarding checklists</li><li>
Track publish schedules and flag bottlenecks before they become blockers</li><li>
Set up and maintain Google Workspace accounts and permissions for team members</li></ul><h3 class="jobSectionHeader">
Required Qualifications</h3><ul><li>
Non-negotiable: Prior remote work experience; fluent with remote collaboration tools (Slack, Zoom, Google Workspace, Asana or similar); ideally has supported US or UK-based companies &mdash; applications without this experience will not be considered</li><li>
Demonstrated project coordination or operations experience in a remote marketing or creative environment</li><li>
Confident Asana (or ClickUp/Trello) user &mdash; able to build out and manage project boards independently</li><li>
Strong Google Workspace knowledge across Drive, Docs, Sheets, and account management</li><li>
Canva proficiency for quick-turn creative production</li><li>
Highly organised with a systems mindset and strong written communication</li></ul><h3 class="jobSectionHeader">
Preferred Qualifications</h3><ul><li>
Experience building SOPs, onboarding workflows, or internal wikis</li><li>
Background in a creative agency, studio, or marketing team</li><li>
Exposure to Adobe CC or Figma &mdash; even basic familiarity is a plus</li><li>

About the Role</h2>
We&rsquo;re seeking a part-time Digital Patient Engagement Coordinator to manage incoming inquiries&mdash;primarily via SMS&mdash;and provide light phone consultation support as needed. This is not a traditional call-center position; instead, you&rsquo;ll leverage technology to build trust with prospective clients by asking thoughtful questions, understanding their health and wellness needs, and guiding them to the next step in their journey.
You&rsquo;ll work in a flexible, on-call capacity throughout the day, quickly responding to leads as they come in. During slower periods, you won&rsquo;t have active tasks but must remain available to engage new inquiries. This role is perfect for someone who is tech-savvy, curious, empathetic, and comfortable discussing wellness topics in a consultative manner. Key Responsibilities</h2><ul><li>
Prompt Lead Response<ul><li>
Monitor and respond to SMS inquiries in a timely, professional manner.</li></ul></li><li>
Consultative Conversations<ul><li>
Ask relevant, open-ended questions about health goals and past experiences to better understand the individual&rsquo;s situation.</li></ul></li><li>
Scheduling<ul><li>
Coordinate phone consultations via Calendly (or similar tools) if a deeper conversation is requested.</li></ul></li><li>
Intake &amp; Documentation<ul><li>
Accurately capture client details in the CRM and scheduling platforms (training provided)</li></ul></li><li>
Relationship Building<ul><li>
Demonstrate empathy, curiosity, and genuine interest in each client&rsquo;s background to help them feel supported.</li></ul></li><li>
Follow-Up<ul><li>
Conduct brief, personalized follow-ups if leads need additional information or a reminder to schedule an appointment.</li></ul></li></ul><h2 class="jobSectionHeader">
Qualifications</h2><ul><li>
Tech-Savvy: Ability to learn new platforms quickly; experience with CRMs, telehealth software, or scheduling tools is a plus.</li><li>
Excel Experience: Comfortable setting up basic spreadsheets or running simple reports if needed.</li><li>
Strong Communication Skills: Excellent written skills for SMS outreach, plus clear verbal communication for phone chats.</li><li>
Curiosity &amp; Empathy: Genuinely interested in clients&rsquo; goals, concerns, and health journeys.</li><li>
Healthcare/Wellness Interest: Familiarity or enthusiasm for telehealth, chiropractic, physical therapy, or concierge medicine is beneficial.</li><li>
Reliable Availability: Able to respond promptly throughout the day, especially during East Coast business hours (estimated 16:00&ndash;24:00 GMT).</li><li>
Attention to Detail: Meticulous in record-keeping, updating systems, and following privacy guidelines.</li></ul><h2 class="jobSectionHeader">
