Holistique fosters a holistic approach to health, promoting wellness, vitality, and balance for our patients.Role DescriptionWe are seeking a full-time, experienced Medical Concierge &amp; Sales Specialist to join our front desk team at our Bellevue, WA location.The Medical Concierge will support front desk operations, including greeting patients, managing appointment scheduling, answering phone calls, texts, and messages, and providing administrative support. This role requires maintaining a warm and welcoming atmosphere, assisting patients with inquiries, and ensuring smooth day-to-day clinic operations.The Medical Concierge will collaborate with providers, medical assistants, billing, and leadership to move patient requests forward efficiently. Clear, patient, and compassionate communication is essential when guiding patients through next steps in their care. This role also includes sales of products, treatment packages, and therapies.Qualifications<ul><li>Prior experience in a medical front desk, healthcare administration, patient services, concierge, or high-touch customer service role</li><li>Experience scheduling appointments for multiple providers and managing complex calendars</li><li>Excellent verbal and written communication skills, with strong phone etiquette</li><li>Proficiency in medical or naturopathic front desk responsibilities and patient interactions</li><li>Comfortable managing high call volume and multi-channel communication (phone, text, email)</li><li>Strong organizational skills and attention to detail</li><li>Ability to work efficiently while maintaining professionalism and accuracy</li><li>Familiarity with medical terminology in a clinical or wellness setting</li><li>Experience with&mdash;or ability to quickly learn&mdash;ticketing, CRM, and EHR systems</li><li>Experience with ChARM (or similar Electronic Health Records systems) preferred</li><li>Knowledge of medical office procedures and administrative best practices</li><li>Ability to multitask in a fast-paced environment without sacrificing quality</li><li>High level of professionalism, discretion, and adherence to OSHA and HIPAA standards</li><li>Previous healthcare experience preferred</li><li>Strong sales experience preferred</li><li>A calm, polished, patient-focused, and welcoming demeanor is essential</li></ul>Preferred Attributes<ul><li>Naturally responsive, self-motivated, trustworthy, and action-oriented</li><li>Strong sense of urgency in patient communication and scheduling</li><li>Highly organized with the ability to manage multiple moving parts</li><li>Persistent and consistent with follow-ups to ensure nothing falls through the cracks</li><li>Team-oriented with a patient-first mindset</li><li>Comfortable handling payments while confidently selling products and services</li></ul>Success in This Role Looks Like<ul><li>Missed calls and voicemails are returned promptly</li><li>Patient inquiries are addressed quickly across all channels</li><li>Appointments are scheduled efficiently and accurately</li><li>No inquiry falls through the cracks</li><li>All communication is properly logged and tracked</li><li>Open tickets are actively managed through resolution</li><li>Patients feel supported, informed, and cared for at every touchpoint</li><li>Sales of products and treatment packages are completed accurately and professionally</li></ul>Holistique takes pride in fostering a kind, compassionate, and professional environment built on unity, excellence, integrity, trust, and service.
