Job Overview We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional front desk support and administrative assistance to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a customer-focused attitude, and the ability to multitask effectively in a fast-paced environment.Duties<ul><li>Greet visitors and clients warmly, providing excellent customer service at the front desk.</li><li>Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.</li><li>Perform clerical duties including data entry, filing, and maintaining organized records.</li><li>Assist with calendar management, scheduling appointments, and coordinating meetings.</li><li>Utilize Microsoft Office for document preparation, correspondence, and presentations.</li><li>Handle bookkeeping tasks such as invoicing and maintaining financial records.</li><li>Provide administrative support to various departments as needed, ensuring efficient office operations.</li><li>Proofread documents for accuracy and clarity before distribution.</li><li>Maintain confidentiality of sensitive information while managing customer support inquiries.</li><li>Support office operations, utilizing specific knowledge in those areas.</li></ul>Requirements<ul><li>Proven experience in an office environment with clerical or administrative responsibilities.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).</li><li>Familiarity with bookkeeping tasks is preferred but not required.</li><li>Strong organizational skills with the ability to manage time effectively and prioritize tasks.</li><li>Excellent phone etiquette and customer service skills.</li><li>Previous experience as a receptionist or personal assistant is advantageous.</li><li>Ability to type efficiently with attention to detail for data entry tasks.</li><li>Knowledge of office management procedures and practices is essential.
