 Position Overview
 
 
 
 The Receptionist/Secretary is responsible for greeting visitors and answering the telephone in a courteous, professional and timely manner. Providing secretarial services and other administrative or operational duties when needed.
 
 
 
 Essential Functions
 
 
 
 <ul>
 <li>
 Answering the telephone, transferring calls, tracking staff and taking telephone messages.
 </li>
 <li>
 Greeting visitors, monitoring all individuals who enter and exit the building.
 </li>
 <li>
 Opening and sorting of daily mail. Acceptance of incoming packages and notifying appropriate individuals upon receipt. Arranges for and assists with preparing forms for outgoing packages and pick-ups (UPS, FedEx, etc.).
 </li>
 <li>
 Provides support for mail machine operation, including purchasing postage.
 </li>
 <li>
 Ordering necessary forms, stationery, and other office supplies.
 </li>
 <li>
 Typing and transcription as requested by staff.
 </li>
 <li>
 Data entry/assist with membership database maintenance.
 </li>
 <li>
 Copying and collating, assisting in all mailings as requested by staff.
 </li>
 <li>
 Scheduling conference center meetings.
 </li>
 <li>
 Other duties in support of staff and operations as assigned..

 </ul>
 
 Qualifications: Knowledge, Skill and Ability:
 
 
 
 <ul>
 <li>
 High school graduate, preferably with business school or appropriate previous experience.
 </li>
 <li>
 Typing skills - 50-60 WPM preferred. Proficient computer skills preferred, including experience with MicroSoft 365 or similar software including Word, Excel, and Outlook.
 </li>
 <li>
 Skilled in working with professionals and general public.
 </li>
 <li>
 Must do neat, accurate work and complete it on time to meet established deadlines.
 </li>
 <li>
 Must treat much information received as confidential.
 </li>
 <li>
 Must be mature, dependable, and able to assume responsibility.
 </li>
 <li>
 Must have the ability to work with minimum supervision and have the ability to set priorities.
 </li>
 <li>
 Must be able to communicate effectively. Pleasant phone voice, friendly disposition, helpful and patient with callers. Keep staff informed of calls..

 Physical Demands

 Lift and move items up to thirty (30) pounds

 Sit, stand and walk for extended periods of time
 </li>

 Ability to work on the computer for hours at a time and concentrate on detailed information

 Bend, kneel and reach items with use of hands/fingers to handle or feel objects, tools or controls
 </li>

 Must be able to speak and listen effectively

 Professional office environment. Contact with medical office staff, physicians, attorneys and the general public. May deal with angry or upset people. Multi-task position requiring strong attention to detail.
