Job Overview We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth operations at the front desk and providing administrative support to our staff. The ideal candidate will possess excellent communication skills, be highly organized, and have a strong background in office management. Bilingual candidates are encouraged to apply. This position will be in person at our streeterville/goldcoast location.Responsibilities<ul><li>Greet visitors and clients warmly, providing a positive first impression of the organization.</li><li>Manage a multi-line phone system, directing calls appropriately and taking messages when necessary.</li><li>Perform data entry tasks accurately and efficiently, maintaining up-to-date records.</li><li>Handle clerical duties such as filing, proofreading documents, and managing office supplies.</li><li>Assist with calendar management, scheduling appointments, and coordinating meetings.</li><li>Provide customer support by addressing inquiries and resolving issues promptly.</li><li>Utilize QuickBooks for bookkeeping tasks as needed, ensuring financial records are maintained accurately.</li><li>Support the team with administrative tasks including typing reports and correspondence using Microsoft Office and Google Workspace.</li><li>Maintain confidentiality of sensitive information while managing office operations.</li></ul>Skills<ul><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.</li><li>Strong organizational skills with the ability to manage multiple tasks simultaneously.</li><li>Excellent phone etiquette and customer service skills to interact effectively with clients and team members.</li><li>Experience with multi-line phone systems and front desk operations is preferred.</li><li>Bilingual abilities are a plus for effective communication with diverse clientele.</li><li>Familiarity with QuickBooks or similar bookkeeping software is advantageous.</li><li>Previous experience as a dental or medical receptionist is beneficial but not required.</li><li>Strong typing skills with attention to detail for accurate data entry and proofreading tasks.</li><li>Ability to work independently as well as collaboratively within a team environment.
