Our team collaborates with contractors, engineers, and project managers to deliver high-quality outcomes efficiently.We are looking for a highly organized and proactive Virtual Assistant to support our management team with administrative, communication, and coordination tasks. The ideal candidate will be dependable, detail-oriented, and comfortable managing multiple priorities in a dynamic work environment.Key Responsibilities:<ul><li>Manage calendars and schedules for the CEO and senior management.</li><li>Coordinate meetings, appointments, and conference calls across time zones.</li><li>Attend virtual meetings, take detailed notes, and prepare Minutes of Meetings.</li><li>Draft and reply to emails on behalf of the CEO/Manager in a professional tone.</li><li>Organize and maintain electronic files, documents, and project folders.</li><li>Assist in preparing and formatting project reports, proposals, and presentations.</li><li>Maintain and update project records, spreadsheets, and tracking systems.</li><li>Coordinate communication between internal teams, clients, and subcontractors.</li><li>Monitor and follow up on pending tasks and deadlines.</li><li>Support HR and administrative functions such as job postings, applicant screening, and onboarding coordination.</li><li>Perform online research and compile relevant data or reports as requested.</li><li>Track invoices, expenses, and other operational records as needed.</li></ul>Nice-to-Have Skills:<ul><li>Knowledge of construction documentation and workflows (drawings, schedules, reports).</li><li>Familiarity with accounting tools (QuickBooks, Zoho Books, or similar).</li><li>Prior experience working with Canadian companies or clients.</li></ul>Job Type: Contract Contract length: 12 monthsWork Location: Remote
