Overview We are seeking a dynamic and highly organized Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. Join us and contribute to a vibrant environment where your organizational talents make a meaningful impact every day!Duties<ul><li>Manage and maintain the CEO&rsquo;s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.</li><li>Serve as the primary point of contact for internal and external communications, demonstrating excellent phone etiquette and professionalism at all times.</li><li>Coordinate and organize company events, meetings, and conferences, including venue selection, logistics planning, catering arrangements, and follow-up tasks.</li><li>Prepare detailed correspondence, reports, presentations, and proofreading documents to ensure clarity and accuracy.</li><li>Handle complex data entry tasks using Microsoft Office Suite and Google Workspace applications while maintaining confidentiality of sensitive information.</li><li>Oversee office management duties such as filing systems, front desk responsibilities, supply procurement, and overseeing office equipment maintenance.</li><li>Support bookkeeping activities using QuickBooks for expense tracking and basic financial record keeping; assist with invoicing and payment processing via DocuSign or similar platforms.</li><li>Perform transcription of meetings or notes as needed; assist with project coordination by tracking deadlines and deliverables.</li><li>Manage personal assistant responsibilities including personal scheduling for the CEO when required, ensuring efficient time management across professional and personal commitments.</li></ul>Skills<ul><li>Proven experience providing executive administrative support in a fast-paced environment with excellent organizational skills.</li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar for scheduling.</li><li>Strong typing skills combined with meticulous proofreading abilities to produce error-free documents.</li><li>Experience with event planning from logistics to execution for corporate meetings or company-wide events.</li><li>Knowledge of QuickBooks for bookkeeping tasks along with basic office management skills such as filing systems and front desk operations.</li><li>Excellent communication skills demonstrating professional phone etiquette across multi-line phone systems.</li><li>Ability to perform data entry accurately while managing multiple projects simultaneously; experience with transcription is a plus.</li><li>Familiarity with office technology including multi-line phones, office equipment, and data management tools like DocuSign for electronic signatures.</li><li>Demonstrated ability to handle confidential information discreetly while maintaining high levels of professionalism in customer service interactions.
