The Executive Assistant will play a key role in managing day-to-day operations, coordinating projects, and ensuring efficient communication within the organization.Responsibilities:<ul><li>Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.</li><li>Prepare and organize documents, reports, and presentations for meetings and presentations.</li><li>Serve as the primary point of contact for staff, vendors, and partners.</li><li>Coordinate and prioritize incoming requests, emails, and phone calls, and respond accordingly.</li><li>Assist with budget management, expense tracking, and financial reporting.</li><li>Process invoices, reconcile accounts, and manage bill pay for vendors and suppliers.</li><li>Maintain accurate records of financial transactions, including expenses, and accounts payable/receivable.</li><li>Conduct research, gather data, and prepare briefing materials for executive meetings and decision-making.</li><li>Assist with project management tasks, such as coordinating timelines, tracking progress, and following up on action items.</li><li>Maintain confidentiality and handle sensitive information with discretion and professionalism.</li><li>Collaborate with other team members to support the overall goals and objectives of the childcare center.</li></ul>Qualifications:<ul><li>Proven experience as an executive assistant or similar role, preferably in a childcare or education setting.</li><li>Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.</li><li>Strong communication skills, both written and verbal, with a professional and courteous demeanor.</li><li>Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Gmail, Google Docs, Google Sheets, Google Drive) and other relevant software applications.</li><li>Proficiency in payroll software and accounting systems (e.g., QuickBooks, ADP)</li><li>Ability to work independently with minimal supervision and collaborate effectively in a team environment.</li><li>Attention to detail and accuracy in all work tasks.</li><li>Flexibility and adaptability to changing priorities and fast-paced environments.</li><li>A positive attitude and a willingness to take on new challenges and responsibilities.</li><li>Passion for childcare and a commitment to supporting the mission and values of Just 4 Us Childcare.</li></ul>Benefits:<ul><li>Competitive salary based on experience and qualifications.</li><li>Health, dental, and vision insurance options.</li><li>Retirement savings plan with employer match.</li><li>Paid time off and holidays.</li><li>Professional development opportunities for career growth and advancement.</li></ul>If you are a motivated individual who thrives in a fast-paced environment and can handle multiple tasks simultaneously, we encourage you to apply for this position.
