JOB PURPOSE: To manage routine office operations for Friends of the Kalamazoo Public Library (FKPL) and the Friends Bookstore.
DUTIES AND RESPONSIBILITIES include but are not limited to:
Board and Committee Support<ul><li>
Facilitate organization&rsquo;s meetings through scheduling, recording, and disseminating information.</li><li>
Attend Board and Committee meetings as needed.</li><li>
Collaborate with the Bookstore Manager and Bookstore Committee as needed.</li></ul>
Administrative Duties<ul><li>
Manage routine office operations</li><li>
Copy and maintain policies, generate organizational forms and documents such as coupons and bookmarks, maintain and update data bases.</li><li>
Support committee operations as needed.</li><li>
Purchase and maintain office supplies, capital outlay items and parking vouchers.</li><li>
Assist on-line sales.</li></ul>
The ideal candidate should be proficient in Excel, Publisher, MS Word or its equivalent, have experience in advertising, MailChimp, desktop publishing, and document creation; have excellent organizational skills , be a self -starter who is able to work with minimal supervision and be able to work collaboratively with KPL staff, Bookstore Manager, Directors and volunteers.
REPORTS TO: Board of FKPL and co-ordinates with the Bookstore Manager.
SALARY AND HOURS: The starting salary is $15.00 per hour. It is a part-time, paid position of 20 hours per week, ideally 5 hours per day, 4 days per week but the schedule may be flexed depending on the needs of the Office Manager, Bookstore Manager and the Bookstore. Some of the hours may be worked from home with the pre-approval of the FKPL president and the Bookstore Committee Chairperson.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
Physical demands: The employee is required to travel independently within the office and patron areas of the library and in the areas served. In work environments the position requires verbal and written conversation with others, sitting, standing, walking, reaching, lifting/moving objects up to 35 pounds, and use of hands and fingers to handle or feel objects, tools or controls. The position occasionally requires standing, walking and sitting for extended periods. Vision abilities required include close vision.
Work environment: Work will be performed in a retail environment. The noise level is usually low to moderate.

Position Summary
Under the direct supervision of the Lead library assistant, library aides provide direct and indirect services to library patrons, through the collection, check-in and shelving of library materials and work on the customer service desk.
Duties and Responsibilities<ul><li>
Greets and assists patrons throughout the entire library, assessing patron needs and referring to appropriate staff as needed.
</li><li>Stays informed of library news and events via review of all forms of library communication: website, email, myKPL, Prism, and library newsletters. Contributes content as appropriate.</li><li>
Places items in correct location on library carts, shelves, displays or other designated areas.
</li><li>Maintains established shelving quota and periodically performs shelf reading.
</li><li>Corrects shelving errors as discovered.</li><li>
Checks in returned materials accurately and efficiently using the library&rsquo;s automated system.</li><li>
Reviews returned materials for completeness and condition.
</li><li>Resolves exceptions according to established practices and procedures.</li><li>
Regularly empties book drops and bins according to established schedule or as directed.</li><li>
Provides direct patron service at customer service desk; registers new patrons, responds to general inquiries and complaints, assists in the location of materials, responds to basic reference and reader advisory questions; instructs patrons in the use of all library resources.</li><li>
Supports the application of library policies using an inclusive professional approach and alerts appropriate staff members or security for assistance when needed. Completes incident reports accurately and promptly.</li><li>
Maintains efficient workroom order.</li><li>
Assists with shifting materials as assigned.
</li><li>Assists with programs and outreach; including set-up, clean up, staffing stations and providing general assistance as assigned.</li></ul>
Other Duties and Responsibilities<ul><li>
Serves on workgroups/committees and participates in initiatives as requested.</li></ul>
Schedule
Up to 29.5 hours weekly; Must have availability up to 8 pm during the week in addition to regular weekend shift.
Wages
$15.30 an hour; $14.00 probationary wage. This position belongs in the UKPLA labor union.

Physical demands:? While performing the duties of this job, the employee is required to move within workspaces and patron areas of the library. This position requires frequent positioning of self to collect and shelve materials from bins and carts onto library shelving and displays. Occasionally requires maintaining stationary position for desk work. Frequent movement of material loads up to 25 lbs. with occasional loads up to 50 and ability to move book carts weighing up to 100 lbs. Frequent use of computer.</div>
