<div>Job Description: 
SUMMARY
Provide administrative support in a variety of processes; maintaining a wide variety of records (stored both manually and electronically); verifying reports for accuracy and completeness. Responsible for all aspects of office support including maintaining calendars, answering phones, handling mail, filing, maintaining equipment, ordering supplies, greeting, and assisting visitors and other office duties as assigned. 

ESSENTIAL DUTIES &amp; RESPONSIBILITIES
<ul><li>Review, monitor, track and support the execution of personnel actions in Marine on Line (MOL), the Defense Civilian Personnel Data System and other media formats/applications.</li>
<li>Prepare, edit, and route awards actions utilizing the Improved Awards Processing System or other means of submission.</li>
<li>Assist in processing, distribution, and monitoring of tasks for completion within the Marine Corps Action Tracking System or other United States Marine Corps (USMC)/Navy enterprise application.</li>
<li>Assist in processing personnel for joins and departures to include security actions for verifying eligibility and processing for access with higher headquarters.
</li><li>Assist in maintaining the JPAS PSM net and identifying members by review for submission of periodic investigations.
</li><li>Compose, review, edit, route, and track official written products using local or USMC/Navy enterprise formats and applications.
</li><li>Assist in travel planning and auditing, to include group lodging, coordinating with outside agencies for foreign travel requirements and country clearances, military travel registration systems as necessary, coordination and processing of travel authoriations to include use of the Defense Travel System and ensuring travel is in compliance with current travel regulations and processes.
</li><li>Audit travel to ensure each trip is in compliance with current travel regulations and processes.
</li><li>Coordinate with the appropriate command personnel for supplies.
</li><li>Compile information relevant to a command chronology and prepare for publication as approved.
</li><li>Maintain key documents archive using the enterprise Department of the Navy Tasks, Records, and Consolidated Knowledge Enterprise Repository (DoN TRACKER).</li>
<li>Assist in developing and tracking execution of staff/division budgets and assist in the creation of funding requests or coordinating cross organizational travel funding.</li>
<li>Provide general technical, information and data management to include design and maintenance of SharePoint collaborative sites and information repositories.</li>
<li>Provide calendar management, initiating and monitoring schedule/meeting requests and prioritizing these requests.</li>
<li>Participate in meetings and take minutes, capture all action items, and forward the minutes to the appropriate person for distribution.
</li><li>Assist in the preparation, publication and distribution of briefing materials associated with the execution of meetings/events.</li>
<li>Facilitate Integrated Product Teams (IPTs), special advisory boards, on-site and off-site working groups meetings.</li>
<li>Maintain regular and punctual attendance.</li>
<li>Perform other duties as required.</li></ul>

Job Requirements: 
MINIMUM QUALIFICATIONS
<ul><li>Extensive working knowledge and demonstrated subject matter expertise with Marine Online (MOL), Defense Travel System (DTS), Joint Travel Regulations (JTR) and Naval correspondence.
</li><li>Working knowledge of Defense Civilian Personnel Data System (DCPDS), Improved Awards Processing System (IAPS), Enterprise Task Management Software Solution/Task Management Tool (ETMS2/TMT), SharePoint, and Citibank / Visa IntelliLink reporting tools.</li>
<li>Working knowledge of the Marine Corps, its missions and structure.</li>
<li>Intermediate knowledge of the Microsoft Office suite.</li>
<li>Must obtain and maintain a valid Secret security clearance (generally, U.S. citizenship required).</li>
<li>Must obtain and maintain any necessary security access and/or background checks.</li></ul>

<ul><li>Bachelor&rsquo;s degree preferred, or commensurate military education and experience.</li>

WORK SCHEDULE
Full-time. May be required to work additional hours as needed to complete assignment or project. 

TRAVEL
The expected travel time is less than 25%. 

DRIVING REQUIREMENTS
Must have or be able to attain a valid state driver&rsquo;s license and be insurable on the company&rsquo;s automobile insurance policy. Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 25%. 

WORK ENVIRONMENT
Work is performed primarily in an office setting and occasionally in a trade show environment. May be exposed to sharp objects, some heat, loud noise, chemicals, and vibration. Use of personal protective equipment is mandatory. Employee will be exposed to a wide variety of people in differing functions, personalities, and abilities. 

PHYSICAL DEMANDS
Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing; occasional walking or standing, occasional lifting of up to 10 lbs. SUMMARY
Support daily operations by ensuring a smooth patient experience through coordinating administrative tasks, managing communications, and maintaining accurate medical records in a fast-paced environment. 

ESSENTIAL DUTIES &amp; RESPONSIBILITIES
<ul><li>Ensure efficient scheduling of medical appointments to support smooth daily operations.</li>
<li>Consult with third-party vendors to coordinate and schedule patient medical appointments.</li>
<li>Communicate with patients and external partners to confirm availability and coordinate medical appointments.</li>
<li>Reschedule or cancel appointments as needed, ensuring all parties are notified promptly and accurately.</li>
<li>Maintain up-to-date calendars and prevent scheduling conflicts across multiple locations.</li>
<li>Set reminders, prepare appointment authorizations, and proactively schedule follow-up visits.</li>
<li>Manage time zones and coordinate patient availability for the nearest clinics within a 50-mile radius.</li>
<li>Follow up to obtain required patient medical clearances and certificates in a timely manner.</li>
<li>Track medical appointments and monitor annual recertification renewals to ensure compliance.</li>
<li>Coordinate and provide daily support for scheduling operations and workflow management.</li>
<li>Prepare and organize medical documents, reports, and correspondence.</li>
<li>Ensure compliance with privacy regulations and confidentiality standards (e.g., HIPAA).</li>
<li>Attend meetings and prepare pre-meeting materials including weekly metrics, agendas, and post-meeting minutes.</li>
<li>Utilize intermediate to advanced proficiency in Microsoft 365 applications including Word, Excel, Teams, OneNote, Outlook, and SharePoint.</li>
<li>Maintain organized filing systems (electronic).</li>
<li>Maintain regular and punctual attendance in accordance with company standards.</li>
<li>Perform additional administrative duties as assigned.</li></ul>

Job Requirements: 
MINIMUM QUALIFICATIONS
<ul><li>High school diploma or equivalent; Associate&rsquo;s degree preferred.</li>
<li>One (1) to three (3) years of experience in medical scheduling, healthcare administration, or a related role.</li>
<li>Intermediate to advanced proficiency in Microsoft Office 365 and EMR systems.</li>
<li>Must obtain and maintain any necessary security access and/or background checks.</li></ul>
