As we continue to grow, we are looking for an organized, customer-focused HVAC Dispatcher to join our Service Department.Position SummaryThe HVAC Dispatcher serves as the communication hub between our customers, technicians, project managers, and office staff. This position is responsible for scheduling and dispatching service technicians, coordinating preventative maintenance visits, assisting with construction-related service requests, and ensuring work orders are completed efficiently and accurately. The ideal candidate thrives in a fast-paced environment, enjoys solving problems, and has excellent organizational and communication skills.Responsibilities● Schedule and dispatch HVAC service technicians based on customer needs, technician availability, location, and priority.● Coordinate emergency service calls while balancing scheduled preventative maintenance and repair work.● Communicate with customers regarding appointment scheduling, technician arrival times, and service updates.● Create, update, and close work orders within the company's dispatch software.● Monitor technician schedules throughout the day and make adjustments as priorities change.● Coordinate preventative maintenance schedules and recurring service contracts.● Assist Project Managers and field personnel with construction-related service requests and warranty work.● Maintain communication between technicians, customers, vendors, subcontractors, and office staff.● Review completed work orders for accuracy, required documentation, technician notes, and customer signatures.● Assist with purchasing materials, coordinating deliveries, and tracking equipment when needed.● Maintain accurate service records, customer information, and dispatch documentation.● Provide exceptional customer service while representing KHI Mechanical in a professional manner.● Perform additional administrative duties to support the Service Department as assigned.Qualifications● High school diploma or GED required.● Previous dispatching, scheduling, customer service, administrative, or construction office experience preferred.● HVAC, plumbing, construction, facilities maintenance, or mechanical contracting experience is a plus.● Strong organizational skills with the ability to manage multiple priorities simultaneously.● Excellent verbal and written communication skills.● Proficient with Microsoft Office, including Outlook, Excel, and Word.● Experience with dispatch, service management, or ERP software is preferred (ComputerEase, FieldEase, ServiceTitan, BuildOps, or similar systems is a plus).● Strong attention to detail and ability to work efficiently in a fast-paced environment.● Ability to remain calm under pressure and make sound decisions when priorities change.● Professional, dependable, punctual, and self-motivated with a positive attitude.BenefitsKHI Mechanical offers a competitive benefits package, including:● Competitive hourly pay (DOE)● Paid holidays● Paid vacation● Medical and dental insurance● 401(k) with company matching contributions● Opportunities for growth and advancementCompensation: $60,000, depending on experience (DOE).Pay: $60,000.00 per yearBenefits:<ul><li>401(k) matching</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Work Location: In person
