Your expertise will help create an organized, productive, and positive workplace where everyone can thrive.Responsibilities<ul><li>Oversee daily office operations, including managing supplies, equipment, and facilities to ensure optimal functioning.</li><li>Serve as the primary point of contact for incoming calls using multi-line phone systems; practice professional phone etiquette at all times.</li><li>Manage front desk duties such as greeting visitors, handling inquiries, and directing guests efficiently.</li><li>Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software like Microsoft Office and Google Workspace.</li><li>Maintain accurate data entry records, files, and documentation while ensuring confidentiality and organization through effective filing systems.</li><li>Support bookkeeping activities using ; handle basic invoicing, expense tracking, and financial record keeping.</li><li>Provide excellent customer service support by addressing client inquiries promptly and professionally across various communication channels.</li><li>Assist with administrative tasks such as proofreading documents, managing correspondence, and supporting personal assistant duties as needed.</li><li>Facilitate office management tasks including organizing supplies, overseeing office maintenance, and ensuring a clean, safe environment.</li><li>Utilize computer skills to enhance productivity; demonstrate technical proficiency in office management tools to streamline workflows.</li></ul>Qualifications<ul><li>Proven experience in office management or administrative roles with strong clerical skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with productivity software.</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.</li><li>Strong communication skills with an emphasis on phone etiquette; bilingual abilities are a plus to serve diverse clients and staff.</li><li>Demonstrated ability to handle data entry accurately while maintaining attention to detail; proofreading skills are advantageous.</li><li>Previous experience working as a receptionist or medical/dental receptionist is beneficial for understanding front desk operations.</li><li>Knowledge of multi-line phone systems and technical proficiency in computer literacy tools required for efficient office management.</li><li>Ability to manage time effectively while juggling multiple responsibilities; experience supporting executive or personal assistant functions is preferred.</li></ul>Join us in this exciting role where your organizational talents will directly contribute to creating an efficient and welcoming office environment!
