Kotn is seeking an Operations Coordinator to join the Kotn Supply (Wholesale) team. Reporting to the Account Manager, you will play a crucial role in owning sales cycles from prospecting to deal closure.
What You&rsquo;ll Be Working On:
Project Coordination (50%)<ul><li>
Partner with the Account Manager to coordinate end-to-end client projects, ensuring smooth execution from planning to delivery</li><li>
Oversee project timelines in the CRM, keeping milestones and deliverables on track and visible to the team</li><li>
Coordinate with decorators, logistics, and clients to confirm specifications, capabilities, and schedules</li><li>
Ensure seamless handoffs between internal teams and external partners</li></ul>
Inventory &amp; Operations (30%)<ul><li>
Reserve and confirm inventory in ERP, ensuring allocations are accurate and up to date</li><li>
Monitor stock levels, proactively flagging shortages and supply risks to leadership</li><li>
Prepare purchase orders and track incoming stock to meet project demands</li><li>
Share weekly updates with management on inventory status, purchase orders, and replenishment timelines</li></ul>
Reporting &amp; Finance (20%)<ul><li>
Maintain accurate order records and generate weekly sales reports for leadership</li><li>
Create project, inventory, and financial status reports to support business visibility</li><li>
Support Accounts Receivable by tracking unpaid invoices and following up with clients when required</li><li>
Assist the Finance team with reconciliations, ensuring invoice accuracy and flagging outstanding balances</li></ul>

Proficient with Microsoft Office and familiarity with ERP/CRM systems</li><li>
Proficiency in English, both written and verbal</li><li>
Flexibility to work evenings and weekends within EST hours to support project timelines</li></ul></div>

Take initiative with ideating new processes to streamline operations and maximize efficiency in order to provide a better omni-channel customer experience</li></ul>
Team Management (50%)<ul><li>
Source strong candidates that align with Kotn&rsquo;s values and ethos and execute hiring, onboarding and training of new employees</li><li>
Support the learning and growth of team by providing feedback and coaching in order to</li><li>
consistently evaluate successes and opportunities and maintain strong team morale</li><li>
Create a culture of accountability: set standards and implement best practices for the team as to strengthen efficiency, accuracy, and execution within all customer support pillars</li><li>
Communicate and collaborate with direct manager on identifying successes and rectifying opportunities within all customer support pillars; demonstrating a commitment to continuous improvement</li></ul>
Customer Support (25%)<ul><li>
Customer-facing everyday: provide best-in-class customer support to all customers; fielding questions and providing upbeat, customized support</li><li>
Resolve CEOs in a timely manner by going above and beyond to ensure a consistently great experience and satisfactory resolution to all customer interactions</li></ul>

Additional Requirements:<ul><li>
4+ years experience in a similar management role at a mid-volume, customer-centric eCommerce or call center environment</li><li>
Exceptional communicator, both verbally and written</li><li>
Ability to take ownership and accountability</li><li>
Must be available to work flexible shifts, including evenings, nights, and weekends, to ensure round-the-clock coverage in alignment with Toronto EST hours</li><li>
Must have knowledge of Microsoft Excel and Google Suite</li><li>
Knowledge of Shopify and various IMS softwares considered an asset</li></ul></div>

Customer Support (50%)<ul><li>
Customer-facing everyday: provide best-in-class customer support to all customers; fielding questions and providing upbeat, customized support</li><li>
Review ticket responses to meet quality standards and improve current processes where necessary</li><li>
Maintain alignment with all brand and marketing initiatives, and be up-to-date with new launches, new materials, sizing etc.</li></ul>
Customer Support (30%)<ul><li>
Resolve customer requests in a timely manner by going above and beyond to ensure a consistently great experience and satisfactory resolution to all customer interactions</li><li>
Identify customer needs or desires in order to recommend the appropriate products and drive for sales increasing solutions</li><li>
Deliver surprise and delight moments to ensure an exceptional experience where possible</li></ul>
Reporting and Operations (20%)<ul><li>
Tackle day to day operational tasks, such as processing and facilitating returns/exchanges between customers and fulfillment team</li><li>
Report on key customer service metrics and share learnings and insights regularly</li><li>
Coordinate/liaison between customers, fulfillment/warehouse team and in-store sale associates</li><li>
Maintain alignment with all brand and marketing initiatives, and be up-to-date with new launches, new materials, sizing etc.</li></ul>
