 About The Role
 
 
 
 LaAmistad is seeking an
 
 Operations Assistant
 
 who embodies our values and is ready to play a key role in supporting our mission-driven team. This individual will manage daily office operations, provide executive and administrative support, and ensure that our leadership team is well-equipped to serve students and families.

 Key Responsibilities
 
 
 
 
 Administrative and Executive Support:
 
 
 
 <ul>
 <li>
 Provide comprehensive administrative support to the leadership and staff, including calendar management, travel coordination, and correspondence.
 </li>
 <li>
 Prepare materials and logistics for meetings, including board and committee gatherings.
 </li>
 <li>
 Draft, edit, and organize communications, reports, and presentations.
 </li>
 <li>
 Coordinate cross-departmental scheduling and ensure follow-up on action items.
 </li>
 <li>
 Support special projects and events that strengthen organizational operations and relationships.
 </li>
 <li>
 Maintain confidentiality and professionalism in all interactions.
 </li>
 <li>
 Assist with internal and external communications, including staff updates, donor correspondence, and board messaging.
 </li>
 <li>
 Track key priorities and deadlines for the Executive Director to help ensure timely progress on strategic initiatives.
 </li>
 <li>
 Coordinate staff meetings, retreats, and celebrations that reinforce team culture and engagement.
 </li>
 <li>
 Support stakeholder relations by managing follow-up and maintaining contact databases.
 </li>
 <li>
 Contribute to process improvement and documentation to keep administrative systems running efficiently.
 </li>
 <li>
 Serve as a liaison between leadership and staff to maintain smooth communication and alignment across departments.
 
 
 </li>
 </ul>
 
 Office Management, Inventory, And Logistics
 
 
 
 <ul>
 <li>
 Manage office inventory, supplies, and vendor relationships to ensure smooth operations.
 </li>
 <li>
 Oversee facility needs and maintenance, creating a welcoming and organized environment for staff, students, and visitors.
 </li>
 <li>
 Coordinate office logistics for events, meetings, and daily operations.
 </li>
 <li>
 Support internal systems for office processes, recordkeeping, and equipment management.
 
 
 </li>
 </ul>
 
 Finance And Operations
 
 
 
 <ul>
 <li>
 Perform bookkeeping tasks, reconciliations, and assist with financial reporting.
 </li>
 <li>
 Assist in budget tracking and expense management.
 
 
 </li>
 </ul>
 
 Human Resources And Operations Support
 
 
 
 <ul>
 <li>
 Assist with HR operations, including interviewing, supporting onboarding and offboarding processes, and handling other assorted personnel-related duties to ensure a positive employee experience.
 
 
 </li>
 </ul>
 
 Skills And Qualifications
 
 
 
 <ul>
 <li>
 3 to 5 years of administrative or office management experience.
 </li>
 <li>
 Excellent written and verbal communication skills.
 </li>
 <li>
 Strong organizational and multitasking abilities.
 </li>
 <li>
 Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
 </li>
 <li>
 Professional discretion when handling confidential information.
 </li>
 <li>
 Ability to work effectively with minimal supervision and as part of a team.
 </li>
 <li>
 Strong problem-solving and decision-making skills.
 </li>
 <li>
 Bachelor&rsquo;s degree or equivalent experience.
 </li>
 <li>
 Proficiency with project management tools such as Asana, Slack, Notion, or similar.
 
 
 </li>
 </ul>
 
 Preferred Qualifications
 
 
 
 <ul>
 <li>
 Experience with Salesforce, Blackbaud, and/or BambooHR.
 </li>
 <li>
 Experience working in nonprofits or community-based organizations.
 </li>
 <li>
 Bilingual in Spanish and English strongly preferred.
 </li>
 <li>
 Experience in education, youth development, or volunteer coordination is a plus.
