Job Overview We are seeking a highly organized and bilingual (Spanish-English) Office Assistant / Receptionist to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our office. The ideal candidate will possess strong communication skills, speak Spanish fluently, have proficiency in office management, and the ability to handle multiple responsibilities efficiently. Previous office or legal experience will be highly valued.Duties<ul><li>Greet visitors and clients professionally at the front desk</li><li>Manage multi-line phone systems, directing calls appropriately and taking detailed messages</li><li>Schedule appointments and manage calendar for staff and clients</li><li>Perform data entry, filing, and document proofreading to ensure accuracy and organization</li><li>Handle correspondence via email and phone</li><li>Assist with billing and bookkeeping as needed</li><li>Provide administrative support such as photocopying, scanning, and printing</li><li>Coordinate with attorneys and legal assistants/paralegals to ensure efficient workflow and timely completion of tasks</li></ul>Skills<ul><li>Bilingual fluency in Spanish and English is required for effective communication with diverse clients and staff</li><li>Strong computer literacy</li><li>Experience with front desk operations, multi-line phone systems, and office management software such as Google workspace</li><li>Excellent organizational skills with the ability to prioritize tasks effectively</li><li>Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities</li><li>Ability to handle multiple responsibilities simultaneously while maintaining attention to detail</li><li>Strong time management skills to meet deadlines efficiently</li></ul>This position offers an engaging work environment where organizational excellence and bilingual communication are highly valued.
