In this role, you will play a key part in the day-to-day operations of the organization, contributing to bookkeeping, fundraising efforts, and overall office coordination while supporting a dedicated team and our volunteer network.Candidate Attributes:<ul><li>Demonstrates excellent organizational skills with ability to manage multiple tasks &amp; deadlines</li><li>Maintains confidentiality and has good judgment when managing sensitive information</li><li>Provides excellent customer service to passengers, pilots, volunteers, and donors</li></ul>Key responsibilities include:<ul><li>Manage all organizational bookkeeping, including daily, weekly, and monthly reconciliations in QuickBooks</li><li>Process financial transactions, including depositing checks and maintaining bank accounts</li><li>Create and update donor records, perform database searches, and produce donor thank you letters</li><li>Provide administrative support for grant activities and fundraising stewardship efforts</li><li>Answer phone calls, greeting callers professionally, fielding inquiries, and assisting with passenger intake</li><li>Work with volunteers to provide support and recognition for their work</li><li>Support flight coordination staff, providing administrative support as needed</li><li>Coordinate post office activities, mass mailings, and shipping needs</li><li>Order office and operational supplies as needed</li><li>Maintain organization and cleanliness of storage areas</li><li>Perform other tasks or special projects as assigned</li></ul>Knowledge &amp; Experience:<ul><li>Proven experience as bookkeeper, office administrator, or office coordinator, or in another relevant administrative role, with 2+ years of experience</li><li>Experience with QuickBooks and financial recordkeeping (required)</li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database systems</li><li>Excellent interpersonal, verbal, and written skills</li><li>Effective organizational, time management, planning, and problem-management skills</li><li>Ability to work independently while also collaborating effectively with a team</li><li>Associate degree preferred</li></ul>Why Join LifeLine Pilots:<ul><li>Be part of a mission that provides life-saving transportation while engaging in meaningful work</li><li>Full-time, Peoria-based position with 1-2 remote workdays each week</li><li>Vacation time, sick leave, and 10 paid holidays a year</li><li>Paid holiday shut-down period between December 24-January 1 every year</li><li>Wellness stipend</li><li>Simple IRA retirement match</li></ul>About LifeLine PilotsLifeLine Pilots&rsquo; mission is to coordinate free air transportation, through volunteer pilots, for people with medical or humanitarian needs far from home.
