Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. Your positive attitude and proactive approach will contribute significantly to a welcoming and productive workplace.Duties<ul><li>Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette </li><li>Handle data entry tasks using computer skills, including updating records in QuickBooks and maintaining organized filing systems </li><li>Support office management by coordinating calendar schedules, booking appointments, and managing calendar updates for staff and executives </li><li>Assist with clerical duties such as proofreading documents, preparing correspondence, and maintaining accurate filing systems </li><li>Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email </li><li>Perform general office tasks such as photocopying, scanning, organizing documents, and managing office supplies inventory </li><li>Support bookkeeping activities including basic data entry in QuickBooks and tracking expenses or invoices</li></ul>Experience<ul><li>Previous office experience demonstrating strong organizational skills and proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) </li><li>Familiarity with multi-line phone systems and excellent phone etiquette skills </li><li>Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members </li><li>Experience with Google Workspace (Gmail, Calendar, Drive) for seamless collaboration and document management </li><li>Clerical or administrative experience in a professional setting that highlights attention to detail and proofreading skills </li><li>Knowledge of office management procedures including filing systems, data entry, and calendar management </li><li>Personal assistant or medical/dental receptionist experience is a plus for understanding specialized client interactions</li></ul>Join us as an Office Assistant to be a vital part of a vibrant team dedicated to excellence!
