JOB DESCRIPTION &ndash; ACCOUNTS COORDINATORLocation: Dubai, UAE Industry: Family Entertainment Centre (FEC) Reporting To: Head of Accounts / Finance ManagerPosition OverviewWe are seeking a detail-oriented, process-driven, and reliable Accounts Coordinator to support our finance and operations team at a leading Family Entertainment Centre in Dubai. This role involves handling day-to-day financial coordination, including reconciliation of party bookings and POS sales, petty cash, vendor management, documentation, and assisting with compliance and reporting. The ideal candidate should be proactive, well-organized, and capable of maintaining high levels of accuracy in a fast-paced environment.Key Responsibilities1. Party Booking &amp; POS Reconciliation<ul><li>Reconcile party advance collections with actual services rendered.</li><li>Maintaining detailed Party Revenue Vs Collection Records</li><li>Match POS entries against booking confirmations to ensure billing accuracy.</li><li>Coordinate with the front desk and operations team to identify and resolve discrepancies.</li><li>Monitor Semnox system sales and reconcile daily with all booking platforms.</li></ul>2. Petty Cash &amp; Gamecol Reconciliation<ul><li>Perform daily petty cash reconciliations; report discrepancies promptly.</li><li>Ensure proper documentation and approvals are in place for all petty cash expenses.</li><li>Verify Gamecol collections using Semnox data and align with party/event bookings.</li></ul>3. Vendor Coordination &amp; Payment Processing<ul><li>Collect and verify Proforma and Tax Invoices from vendors; forward to HO Accounts.</li><li>Liaise with vendors and assist the HO Purchase Manager in coordination and documentation.</li><li>Match invoices against POs and quotations; escalate discrepancies for correction.</li><li>Initiate payment requests for Center Head&rsquo;s approval and maintain a real-time payment tracker.</li><li>Periodically collect vendor account confirmations and share ledgers as required via Zoho Books.</li></ul>4. Purchase Management &amp; Documentation<ul><li>Review all purchase bills for accuracy (TRN, invoice type, vendor details).</li><li>Maintain and update the Amazon purchase tracker and associated documentation.</li><li>Download bills from designated portals and share with HO Accounts and Center Head on time.</li><li>Cross-check purchases (e.g., party decorations, cakes, reimbursements, vendor commissions) with relevant data for verification.</li><li>Upload validated purchase invoices to the shared drive and maintain well-organized digital records.</li></ul>5. Financial Coordination &amp; Compliance<ul><li>Act as a liaison between center operations, vendors, and the HO finance team.</li><li>Ensure timely submission of reconciliations and reports to support day-end &amp; month-end closures.</li><li>Uphold internal controls and compliance with company financial policies.</li><li>Perform reconciliations for:</li><li>Salary Sheets vs Payments</li><li>Sales vs Payments Received</li><li>Vendor Balances vs Confirmations</li><li>Assist with ad hoc financial analysis and MIS reports as requested by HO Accounts.</li></ul>6. Receivables &amp; Communication Management<ul><li>Track and respond to customer communications after internal confirmations.</li><li>Maintain a log of sales invoices issued to outlet partners/franchisees.</li><li>Monitor receivables from partners and follow up to ensure timely collections.</li><li>Provide account confirmations to customers or partners when requested.</li></ul>7. HO Support &amp; Zoho Entries<ul><li>Assist the HO Accounts Team with:</li><li>Data entry and documentation in Zoho Books</li><li>Reconciliation and verification of ledgers</li><li>Coordination for banking tasks and document attestations</li><li>General accounts-related administrative tasks as required</li></ul>Key Skills &amp; Competencies<ul><li>Strong attention to detail and high accuracy in financial reconciliation and reporting</li><li>Proficiency in Microsoft Excel, Google Workspace, and accounting platforms (Zoho preferred)</li><li>Excellent interpersonal and vendor coordination skills</li><li>Ability to prioritize, multitask, and meet tight deadlines</li><li>Integrity and discretion in handling confidential information</li><li>Familiarity with POS systems and ERP software (e.g., Semnox, Zoho)</li></ul>Qualifications &amp; Experience<ul><li>Bachelor&rsquo;s degree in Accounting, Finance, or a related field</li><li>2&ndash;4 years of experience in an accounting or finance role, preferably in retail, FEC, or hospitality sectors</li><li>Strong understanding of vendor management, payment processes, and reconciliation</li><li>Hands-on experience with accounting tools like Zoho Books and POS systems</li></ul>Job Type: Full-timePay: AED3,500.00 - AED4,500.00 per month
