JOB DESCRIPTION &ndash; ACCOUNTS PAYABLE EXECUTIVE (AP)1. Position OverviewResponsible for managing vendor invoices, payments, expense control, and ensuring compliance with company policies, GST, TDS, and accounting standards.2. Key ResponsibilitiesA. Invoice Processing<ul><li>Verify purchase orders, GRN, service entries, and vendor invoices.</li><li>Check rate, quantity, GST, HSN/SAC, and vendor details.</li><li>Ensure three-way matching (PO&ndash;GRN&ndash;Invoice).</li></ul>B. Vendor Payments<ul><li>Prepare payment proposals based on due dates &amp; credit terms.</li><li>Process NEFT/RTGS payments.</li><li>Maintain MSME payment deadlines (45-day limit).</li><li>Track advances and adjust against invoices.</li></ul>C. Expense Management<ul><li>Check petty cash vouchers and staff reimbursements.</li><li>Verify supporting bills, approvals, and policy compliance.</li></ul>D. Reconciliations<ul><li>Vendor ledger reconciliation (monthly/quarterly).</li><li>GRN vs. Invoice reconciliation.</li><li>Advance/payment balance reconciliation.</li></ul>E. Statutory Compliance<ul><li>TDS deduction and monthly TDS returns working.</li><li>GST input credit verification (GSTR-2B matching).</li><li>MSME Act compliance.</li></ul>F. Reporting<ul><li>Ageing report for payables.</li><li>Outstanding vendor list.</li><li>Monthly provision entries.</li></ul>G. Documentation &amp; Controls<ul><li>Maintain vendor master data.</li><li>Maintain digital invoice library.</li><li>Support audits (statutory, internal, GST).</li></ul>3. Skills Required<ul><li>Knowledge of TDS, GST, MSME Act.</li><li>Strong Excel skills (VLOOKUP, Pivot).</li><li>Experience with ERP (SAP/Tally/Odoo).</li><li>Accuracy and time-management.</li></ul>4. Customer Billing<ul><li>Prepare sales invoices based on delivery challans.</li><li>Check rates, discounts, GST, and customer PO.</li><li>Dispatch invoices to customers (email/portal upload).</li></ul>B. Collections &amp; Follow-up<ul><li>Follow-up for due payments.</li><li>Track overdue invoices and escalate to sales/management.</li><li>Coordinate with customers for TDS certificates, short payments, debit notes.</li></ul>C. Credit Control<ul><li>Monitor customer credit limits &amp; payment terms.</li><li>Update management on risky or overdue accounts.</li><li>Block/unblock customers as per policy.</li></ul>D. Reconciliations<ul><li>Customer ledger reconciliation.</li><li>Bank reconciliation for receipts.</li><li>Credit note, debit note, and short payment reconciliation.</li></ul>E. Statutory Compliance<ul><li>GST accuracy on outward invoices.</li><li>Support monthly GST (GSTR-1) data.</li><li>Ensure documentation for export invoices, LUT, etc.</li></ul>F. Reporting<ul><li>Ageing report for receivables.</li><li>DSO (Days Sales Outstanding).</li><li>Collection summary vs. target.</li></ul>3. Skills Required<ul><li>Strong communication for customer follow-up.</li><li>Good Excel &amp; ERP skills.</li><li>Knowledge of GST, TDS on receipts (if applicable).</li><li>Attention to detail.</li></ul>4.
