The ideal candidate will possess strong clerical skills, be proficient in office management, and demonstrate the ability to handle multiple tasks efficiently.Responsibilities<ul><li>Manage front desk operations, including greeting visitors and handling inquiries.</li><li>Operate multi-line phone systems to answer calls, direct inquiries, and provide customer support.</li><li>Perform data entry, filing, and maintain organized records for easy access.</li><li>Assist with calendar management, scheduling appointments, and coordinating meetings.</li><li>Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.</li><li>Conduct proofreading of documents to ensure accuracy and professionalism.</li><li>Provide administrative support to team members as needed, including bookkeeping tasks using QuickBooks.</li><li>Maintain a clean and organized office environment to enhance productivity.</li><li>Exhibit excellent phone etiquette while communicating with clients and colleagues.</li></ul>Skills<ul><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.</li><li>Strong organizational skills with the ability to manage multiple tasks simultaneously.</li><li>Excellent typing skills with attention to detail for accurate data entry.</li><li>Previous experience in office management or clerical roles is preferred.</li><li>Bilingual abilities are a plus for effective communication with diverse clients.</li><li>Familiarity with multi-line phone systems and customer service best practices.</li><li>Knowledge of QuickBooks for bookkeeping tasks is advantageous.</li><li>Experience as a dental receptionist or medical receptionist is beneficial but not mandatory.</li><li>Strong time management skills to prioritize tasks effectively in a fast-paced environment.</li><li>Personal assistant experience is valued for supporting executive-level staff.
