<div>The Luxor team has built a range of solutions for Bitcoin mining and compute power. Our Hardware Desk facilitates the global trade of specialized hardware to our clients and trading partners &mdash; we move tens of thousands of machines a month and operate one of the highest-volume desks globally.
This role supports Luxor's AI/HPC Hardware Sales and Business Development teams by owning the operational layer that keeps deals moving. You'll be responsible for generating and processing commercial documents, maintaining CRM hygiene, managing OEM/ODM distributor registrations, supporting supply sourcing, handling export compliance and shipping logistics, and synthesizing sales data into actionable reporting. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-moving hardware trading environment. This role reports to the Head of Hardware and is a remote position based in the United States.<h2 class="jobSectionHeader">
Basic Requirements</h2><ul><li>
Based in the United States or Canada.</li><li>
Bachelor's degree in Business, Operations, Supply Chain, Finance, or a related field.</li><li>
1&ndash;3 years of experience in a sales operations, trade operations, logistics, or administrative role, preferably within a technology or hardware environment.</li><li>
Familiarity with U.S. export regulations (EAR, ECCN classifications, OFAC screening) and international shipping documentation; formal compliance training or experience is a strong plus.</li><li>
Experience coordinating with freight forwarders, customs brokers, or carriers, and working with shipping documentation (commercial invoices, packing lists, BOLs, SED/EEI filings).</li><li>
Comfort researching and documenting product specifications (weight, dimensions, configurations) for logistics and compliance purposes.</li><li>
Proficiency with CRM platforms (HubSpot strongly preferred); experience building reports, workflows, and dashboards.</li><li>
Strong working knowledge of commercial document workflows &mdash; contracts, invoices, POs &mdash; and comfort coordinating with legal and finance stakeholders.</li><li>
Familiarity with OEM/ODM/VAR partner portal processes and distributor registration programs is a strong plus.</li><li>
Solid data skills: comfortable working in Excel or Google Sheets, and ideally with BI tools (Looker, Tableau, or similar).</li><li>
Exceptional organizational skills and attention to detail &mdash; you catch the things others miss.</li><li>
Strong written communication skills; able to draft clear, professional business correspondence.</li><li>
Ability to manage multiple priorities in a fast-moving environment with minimal hand-holding.</li><li>
Interest in or exposure to AI, HPC, data center, or enterprise hardware markets.</li></ul><h2 class="jobSectionHeader">
Responsibilities</h2>
Document Generation &amp; Processing<ul><li>
Draft, review, and process commercial documents including NDAs, sales agreements, purchase orders, and invoices in coordination with the sales and legal teams.</li><li>
Maintain organized document repositories and ensure version control across active deals and partner agreements.</li><li>
Support contract renewals, amendments, and compliance tracking for active vendor and customer agreements.</li></ul>
Supply Sourcing Support<ul><li>
Assist the sales team in identifying and vetting hardware supply sources across OEMs, ODMs, distributors, and secondary market channels.</li><li>
Track inventory availability, lead times, and pricing from active and prospective suppliers to support deal execution.</li><li>
Coordinate with vendors on quote requests, allocation inquiries, and order confirmations to keep the sourcing pipeline moving.</li></ul>
Export Compliance &amp; Shipping Operations<ul><li>
Research and document product specifications including hardware configurations, weights, dimensions, and HS/HTS codes required for shipping and export filings.</li><li>
Prepare and process export documentation including commercial invoices, packing lists, certificates of origin, shipper's export declarations, and any required EAR/ECCN filings.</li><li>
Conduct denied party and export control screening in accordance with U.S. export regulations (EAR, OFAC).</li><li>
Coordinate with freight forwarders, carriers, and customs brokers to ensure accurate and timely shipments.</li><li>
Monitor shipment status and proactively resolve logistics issues, delays, or documentation gaps.</li><li>
Maintain a compliance log for all international transactions and flag any items requiring additional licensing review.</li></ul>
CRM &amp; Data Management<ul><li>
Log and maintain accurate deal, contact, and account data in HubSpot (or equivalent CRM), ensuring the sales pipeline reflects current status at all times.</li><li>
Build and manage workflows and automation to reduce manual data entry and improve pipeline visibility.</li><li>
Audit CRM data quality on a regular cadence and flag inconsistencies to the BD team.</li></ul>
OEM, ODM &amp; Distributor Registration<ul><li>
Manage the end-to-end process for registering Luxor as an authorized reseller, VAR, or distribution partner with OEMs, ODMs, and distributors.</li><li>
Track registration status, renewal dates, and compliance requirements across all active partner programs.</li><li>
Coordinate with vendor portals and partner teams to ensure Luxor's credentials and deal registrations are current.</li></ul>
Sales Analytics &amp; Strategy Support<ul><li>
Pull, clean, and analyze sales and pipeline data to produce weekly and monthly performance reports for leadership.</li><li>
Build dashboards and visualizations to track KPIs including revenue, margin, pipeline velocity, and win/loss trends.</li><li>
Support the BD team in preparing market analysis, competitive landscape summaries, and customer segmentation insights for quarterly business reviews.</li></ul>
Cross-functional Coordination<ul><li>
Serve as the operational point of contact between Sales, Finance, and Legal for deal-related administrative needs.</li><li>
Assist with onboarding new customers and vendors by coordinating documentation, compliance checks, and system setup.</li><li>
Support the team at industry events and trade shows with logistics, materials, and follow-up tracking.</li></ul><h2 class="jobSectionHeader">
