Job Title: Admin Assistant/HR GeneralistDepartment: Human ResourcesPosition Type: Full-TimeReports To: Director of Human ResourcesFLSA Status: Non-ExemptWork Year: 12 MonthsPosition Summary/Purpose: The Administrative Assistant / HR Generalist provides comprehensive administrative and human resources support to the Human Resources Department. This position serves as the first point of contact for employees while performing a broad range of HR generalist functions, including onboarding, benefits administration, assisting with leave coordination, and contract preparation. Customer Service<ul><li>Maintain a professional and welcoming environment - serving as the primary point of contact for the Human Resources Department by answering incoming phone calls, responding to emails, and managing the HR inbox.</li><li>Participate in the admin office rotation for answering District calls and the door for deliveries and guests.</li><li>Coordinate incoming and outgoing mail and assist with general correspondence.</li></ul>Talent Acquisition &amp; Onboarding<ul><li>Coordinate onboarding for all staff and substitutes, including those employed through third-party agencies.</li><li>Facilitate intake meetings and ensure accurate data into HRIS and platforms such as Skyward, Frontline, etc..</li><li>Manage the job posting process by posting openings, ensuring timely and accurate listings.</li><li>Complete pre-employment requirements, including FBI, State Police, DCFS, &amp; employment verification.</li></ul>Contract Management<ul><li>Prepare and teacher contracts for the Board of Education, ensuring accurate salary and credential verification.</li><li>Communicate staffing updates and changes to support monthly Board of Education reporting.</li><li>Create and issue employee ID badges, including photos and coordinating access with the Technology Department.</li></ul>Benefits Administration<ul><li>Support the employee benefits, including enrollments, life event changes, and COBRA.</li><li>Generate and distribute monthly dependent eligibility (maximum age) reports.</li><li>Assist with Affordable Care Act (ACA) audits and annual Open Enrollment processes.</li><li>Serve as a point of contact for employee benefit inquiries and escalate as appropriate.</li></ul>Leaves &amp; Claims Management<ul><li>Assist the Manager and Director with Family and Medical Leave Act (FMLA)</li><li>Serve as the primary liaison for workers&rsquo; compensation cases.</li><li>Coordinate claim processing and documentation with third-party administrators.</li><li>Use established absence systems &amp; follow up on absences in accordance w/ District policies.</li></ul>HR Operational Support<ul><li>Support the execution of New Teacher Orientation and 1st and 2nd-year teacher professional development meetings - logistics, materials, catering, and participants.</li><li>Complete employment verifications and prepare verification letters upon request.</li><li>Assist with employee recognition programs, including event coordination and logistics.</li><li>Maintain confidential personnel records and ensure compliance with all laws and regulations.</li><li>Perform other duties as assigned by the Director of Human Resources.</li></ul>Qualifications Education and Experience<ul><li>An equivalent combination of education and relevant professional experience that demonstrates the knowledge, skills, and abilities necessary to perform the position will be considered.</li><li>Multiple years of administrative assistant, human resources, or closely related experience.</li></ul>Knowledge, Skills, and Abilities<ul><li>Strong understanding of human resources principles, practices, and applicable employment laws.</li><li>Excellent customer service and interpersonal skills with the ability to interact effectively with diverse stakeholders.</li><li>Exceptional organizational skills and attention to detail.</li><li>Ability to manage multiple priorities in a fast-paced environment.</li><li>Strong written and verbal communication skills.</li><li>Ability to maintain strict confidentiality and handle sensitive information with discretion.</li><li>Proficiency in Microsoft Office and Google Workspace.</li><li>Bilingual skills are highly valued.</li></ul>Preferred Skills<ul><li>As a multi-language district, we always prefer staff who are bilingual but it is not required for this position.</li><li>Knowledge of HR functions such as onboarding, benefits administration, and workers&rsquo;
