 Responsibilities
 
 <ul>
 
 <li>
 Greet clients and visitors in a professional and friendly manner
 </li>
 
 <li>
 Answer phone calls, take messages, and direct calls to the appropriate person
 </li>
 
 <li>
 Coordinate and schedule depositions, hearings, and meetings
 </li>
 
 <li>
 Assist with document preparation
 </li>
 
 <li>
 Conduct legal research and gather relevant case information
 </li>
 
 <li>
 Organize and maintain case files in document management system (iManage)
 </li>
 
 <li>
 Coordinate and schedule meetings, conferences, and travel arrangements
 </li>
 
 <li>
 Maintain and organize client files and records
 </li>
 
 <li>
 Communicate with clients, opposing counsel, court personnel, and accounting in a professional manner
 </li>
 
 <li>
 Open new files and running conflicts
 </li>
 
 <li>
 Updating docket sheet or information sheet on the file
 </li>
 
 <li>
 Perform general clerical duties such as filing, scanning, and data entry
 </li>
 
 <li>
 Provide administrative support to attorneys and staff as needed
 </li>
 
 
 </ul>
 
 
 
 
 Experience
 
 <ul>
 
 <li>
 Excellent organizational skills and attention to detail
 </li>
 
 <li>
 Strong communication and interpersonal skills
 </li>
 
 <li>
 Proficient with Microsoft Office Suite and legal software (will train on our specific tools)
 </li>
 
 <li>
 Knowledge of e-filing in state and federal courts
 </li>
 
 <li>
 Previous experience working as a legal secretary on the litigation defense side is highly preferred
 </li>
 
 <li>
 Knowledge of court rules and procedures
 </li>
 
 <li>
 Ability to maintain confidentiality and handle sensitive information
 </li>
 
 <li>
 Ability to work independently and as part of a team
 </li>

Legal Secretary

 Responsibilities
 
 <ul>
 
 <li>
 Provide administrative support for attorneys, paralegals, legal assistants, and office manager in a busy and successful law practice
 </li>
 
 <li>
 Trial preparation assistance as needed
 </li>
 
 <li>
 Answer, screen, prioritize and place telephone calls appropriately and adept at using all features of the phone system and voicemail
 </li>
 
 <li>
 Communicate effectively and professionally with court personnel, clients, vendors, attorneys, paralegals
 </li>
 
 <li>
 Promptly and accurately calendar depositions in conference rooms as requested
 </li>
 
 <li>
 Make meeting arrangements and preparations
 </li>
 
 <li>
 Keeps Office Manager well-informed of activities, results of efforts and problems identified
 </li>
 
 <li>
 Respects confidentiality in discussing participant/consumer, staff, volunteers and organizational matters
 </li>
 
 <li>
 Maintains cleanliness, organization, and proper stock of offices, conference rooms, kitchens, and supply room
 </li>
 
 <li>
 As backup to other office staff, available to send, receive, sort, and route all mail and deliveries
 </li>
 
 <li>
 As backup to other office staff, prepare or process outgoing mail to include~ accurate weighing, coding, sorting, affixing postage, properly addressing, and preparing certified/rush/overnight/ return receipt mail
 </li>
 
 <li>
 Submit any maintenance requests or contact building management for any necessary inquiries
 </li>
 
 
 </ul>
 
 
 
 
 Experience
 
 <ul>
 
 <li>
 Minimum 3 years experience in a law firm environment preferred
 </li>
 
 <li>
 Professionalism at all times; positive and friendly attitude; willing to help as needed
 </li>
 
 <li>
 
 Able to exercise high levels of discretion, confidentiality, sensitivity, and integrity
 
 </li>
 
 <li>
 
 
 Knowledge of basic legal terminology, processes, documents, and case flow preferred
 
 
 </li>
 
 <li>
 
 &nbsp;Attention to detail; Robust writing, grammar, and proofing skills
 
 </li>
 
 <li>
 
 
 Highly organized and ability to multi-task proficiently
 
 
 </li>
 
 <li>
 
 Strong interpersonal skills in working with clients, attorneys, court personnel, vendors, etc.
 
 </li>
 
 <li>
 
 Must be able to work under the direction of the Office Manager and be willing to contribute by performing tasks as needed
 
 </li>
 
 <li>
 
 Ability to follow directions, firm policies, and procedures
 
 </li>
 
 <li>
 
 Comfortable with&nbsp; sedentary desk work as well as duties requiring standing/bending/stooping; ability to lift 20-25 lbs
 
 </li>
 
 <li>
 
 Proficient in Word, Excel, Power Point, Outlook, Adobe Acrobat; ability to type 65 wpm accurately preferred
 
 </li>
 
 <li>
 
 High-school diploma required, college degree a plus
 
 </li>

 Bilingual English/Spanish is highly preferred, but not required&nbsp;
