Preferred qualifications include experience providing administrative support to medical professionals in a teaching environment, advanced proficiency in Microsoft Office products, familiarity with medical publications and research tools such as NIH resources, MyCV, and SciENcv, and some exposure to grant processes. 
 
The typical work schedule: 
 
On Campus Days - 9:00 am - 3:00 pm 
Remote Days - 8:00 am - 5:00 pm 
 
Salary range: Minimum $45,500.00- Midpoint $57,000.00- Maximum $68,500.00

Key Responsibilities 
Administrative &amp; Operational Support: 
<ul><li>Provide comprehensive administrative support to three faculty members</li><li>Answer, screen, and triage telephone calls and relay accurate messages</li><li>Receive, sort, and distribute departmental mail, faxes, and packages</li><li>Order and restock office and lab supplies on a scheduled basis</li><li>Coordinate service calls with vendors in the absence of the Office Manager</li></ul>
Calendar &amp; Coordination: 
<ul><li>Manage complex calendars including daily, monthly, and annual scheduling</li><li>Communicate leave schedules with administration, clinics, providers, and faculty</li><li>Ensure alignment of commitments across multiple stakeholders</li></ul>
Travel &amp; Expense Management: 
<ul><li>Coordinate extensive travel arrangements including registrations, lodging, and airfare</li><li>Submit and monitor reimbursement requests using institutional systems</li><li>Maintain travel documentation and compliance with organizational guidelines</li></ul>
Research &amp; Academic Support: 
<ul><li>Maintain faculty CVs using MyCV, including publications, presentations, and honors</li><li>Assist with manuscript preparation, editing, and literature searches</li><li>Retrieve research data from Medline and PubMed databases</li><li>Support grant submissions by coordinating documents, biosketches, and budget input</li><li>Ensure accuracy and completeness of grant proposals prior to submission</li></ul>
Financial &amp; Records Management: 
<ul><li>Perform account reconciliation in accordance with institutional policies</li><li>Track and maintain financial records, spreadsheets, and funding sources including grants and donor funds</li><li>Facilitate transfer of medical records for scanning and permanent documentation</li><li>Manage weekly lab coat collection and distribution logistics</li></ul>

Senior Administrative Assistant - Surgical Oncology

Sr. Administrative Assistant opportunity in the Genitourinary Cancer Center. The ideal candidate must have a high school diploma or equivalent and at least five years of administrative/secretarial experience. 
 
Prefer candidates with Microsoft Office (Teams, Word, PowerPoint, and Excel), Kronos, and prior experience as an Administrative Assistant. Concur and PeopleSoft experience is a plus. Must be able to work well independently or with a team, task-oriented, and organized.

KEY FUNCTIONS 
 
HR File maintenance - employee files (paper and electronic)
 
Facilitate on-boarding of new hires/transfers: request badge access, iPhone, keys, door signage, etc. as applicable; create personnel file folder, add PD to PD Warehouse, update Outlook mail groups to add/delete; update in-service lists and credentialing. 
 
Document Retention/Log Management; Verify appropriate credentials and maintain both tracking logs and e-mail monthly reminders. 
Comply with Joint Commission standards for personnel files. Conduct biennial file audits to include Education Center training/transcripts. Prepare and relocate documents to off-site storage per institutional record retention schedule, as needed. 
 
Payroll - Primary Timekeeper 
Track attendance points and provide biweekly reports to the unit leadership. 
Concur Travel and Expense Support - all titles 
Department Emergency planning assistance - update staff telephone list, maintain call-down tree. Mail pick-up and distribution. 
 
Provide administrative support to the Leadership Team and Staff 
Weekly staff meeting coordination. Schedule meetings and manage calendars as needed for the Leadership team. Order and confirm catering, if applicable. Send reminders, create agendas, prepare deliverables, take, transcribe, and distribute minutes (as needed and within one week of meeting). Manage audio/visual support, as needed. 
 
Professional Recognition Day Coordination
 
Create flyers and other signage and e-mail communication and distribute 
Manage Supply Par for GU Center 
 
Procurement Card Holder 
Staff Interviews coordination; Create interview packets and provide them to interviewers at least two days prior to the interview date 
In collaboration with the AD and respective NM, coordinate Meet and Greet meetings at the 30, 60, and 90-day mark for new hires. 
 
EDUCATION 
Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred associate's degree, three years of required experience and with preferred bachelor's degree, one year of required experience. 
Preferred: Associate or bachelor's degree 
 
EXPERIENCE 
Required: Five years of administrative/secretarial experience.
 
Preferred: Five years of administrative assistant experience in an oncology clinical/hospital setting. Kronos, Concur, PeopleSoft, and Microsoft Office (Teams, Word, PowerPoint, and Excel) are a plus.

The ideal candidate brings 1-2 years of experience and a consistently positive, team oriented attitude, with the flexibility to adapt to changing needs across the unit. CNA certification is welcome but not required, and candidates should feel confident floating to other PACU areas as needed.
