Job Title: HR &amp; Admin ExecutiveDepartment: Human Resources &amp; Administration Reports To: Operations Manager &amp; Senior HR Location: Kottayam Employment Type: Full-timeKey ResponsibilitiesA. Human Resources<ul><li>Assist in end-to-end recruitment activities &mdash; job postings, resume screening, and interview scheduling.</li><li>Manage onboarding formalities and maintain employee personal files.</li><li>Record and monitor attendance, leaves, and monthly HR reports through systems such as Pagar.</li><li>Support employee engagement activities, internal communication, and staff welfare programs.</li><li>Ensure compliance with company HR policies and maintain confidentiality of all employee records.</li><li>Assist in PMS (Performance Management System) evaluation and review processes.</li><li>Prepare and update HR Standard Operating Procedures (SOPs).</li><li>Draft and update Job Descriptions for new and existing positions.</li></ul>B. Office Administration<ul><li>Oversee daily branch operations, office cleanliness, and maintenance activities.</li><li>Manage front office operations including handling incoming calls, emails, and student/visitor queries.</li><li>Maintain inventory of office supplies, stationery, and refreshments, ensuring timely replenishment.</li><li>Coordinate vendor payments, service requests, and ensure smooth vendor relations.</li><li>Support organization of internal meetings, student seminars, and branch-level events.</li><li>Prepare and submit weekly administrative updates and reports to the Branch/Operations Head.</li></ul>C. Accounts Support<ul><li>Maintain petty cash records and daily expense vouchers.</li><li>Verify and submit vendor invoices to the Accounts Department.</li><li>Track payments, reimbursements, and bill settlements accurately.</li><li>Assist in preparing monthly branch expense reports and budget summaries.</li><li>Support in Tally data entry and client payment follow-ups.</li></ul>Qualifications &amp; Requirements<ul><li>Education: Bachelor&rsquo;s degree in HR, Commerce, or Business Administration.</li><li>Preferred Qualification: MBA in HR &amp; Finance.</li><li>Experience: 1&ndash;3 years of experience in HR and office administration (preferably in the education or service sector).</li><li>Skills:</li><li>Proficiency in MS Office (Word, Excel, Outlook).</li><li>Good typing, communication, and coordination skills.</li><li>Language fluency in English and Malayalam (mandatory); knowledge of Hindi/Tamil is an advantage.</li><li>Strong organizational and multitasking abilities.</li></ul>Key Competencies<ul><li>Strong interpersonal and problem-solving skills.</li><li>Time management and attention to detail.</li><li>Ethical and confidential handling of employee data.</li><li>Proactive attitude with effective team coordination.</li><li>Professional presentation and workplace behavior.</li></ul>Performance Indicators (KPIs)<ul><li>Timely completion and accuracy of HR and administrative reports.</li><li>Error-free attendance, petty cash, and HR data maintenance.</li><li>Smooth onboarding and high employee satisfaction.</li><li>Effective office maintenance and vendor management.</li></ul>Job Type: Full-timeEducation:<ul><li>Master's (Required)</li></ul>Experience:<ul><li>HR sourcing and Recruitment: 2 years (Required)</li><li>Payroll management: 1 year (Preferred)</li><li>Interviewing: 1 year (Preferred)</li></ul>Work Location: In person
