This role requires strong collaboration and communication with department personnel to ensure daily operational tasks are completed efficiently and accurately.Although the position is primarily administrative in nature, cross-training within the department is expected to ensure coverage when needed. Cross-training also supports professional growth and enhances overall departmental effectiveness.Essential Functions<ul><li>Answer and direct incoming phone calls</li><li>Train in and utilize Prophesy and SAP systems</li><li>Assist with collections and carrier payment issues</li><li>Complete driver reimbursement sheets</li><li>Monitor and order office supplies (PO required for approval)</li><li>Reconcile billing files weekly</li><li>Create requisitions for purchase orders</li><li>Provide brokers and customers with Proof of Delivery (POD) documentation</li><li>Track company trucks daily</li><li>Perform data entry of load and customer information</li><li>Complete driver packets</li><li>Process billing (scan, email, and mail invoices)</li><li>Enter shipments into the Prophesy system</li><li>File truck and trailer write-ups</li><li>Monitor and restock driver supplies</li><li>Track, trace, and update shipment status</li></ul>Additional Duties<ul><li>Engage with vendors and drivers</li><li>Assist with resolving shipment or payment discrepancies</li><li>Support production or plant activities as needed</li><li>Perform other duties as assigned by management</li></ul>Physical Requirements<ul><li>Ability to lift up to 20 lbs</li><li>Ability to hear and speak clearly on the telephone</li><li>Ability to work under pressure in a fast-paced environment</li><li>Ability to move throughout the plant and assist with operational activities when necessary</li></ul>Qualifications<ul><li>Energetic self-starter with strong organizational skills</li><li>Proficient in Microsoft Office (Word, Excel)</li><li>Ability to learn transportation/shipping software systems</li><li>Willingness to participate in company-provided training</li><li>Willingness to work evenings or overtime if required</li><li>Willingness to travel overnight if required</li><li>Ability to receive constructive feedback and maintain professionalism</li><li>Strong commitment to customer service, teamwork, and quality standards</li><li>Positive attitude and strong work ethic</li></ul>Expected hours: No less than 40 per weekBenefits:<ul><li>401(k) matching</li><li>Dental insurance</li><li>Employee discount</li><li>Health insurance</li><li>Life insurance</li><li>Paid time off</li><li>Referral program</li><li>Vision insurance</li></ul>People with a criminal record are encouraged to applyWork Location: In person
