We are seeking a dedicated and detail-oriented Sales Assistant to support our sales department and its operations in the automotive export industry. The ideal candidate will be responsible for managing back-office tasks, front-in clients, handling documentation, coordinating with clients and internal departments, and ensuring seamless communication to facilitate the sales process.</div><div>
Key Responsibilities:</div><ul><li>Administrative Support: Provide comprehensive administrative assistance to the Sales Manager and Chief Sales Officer, including scheduling meetings, managing calendars, and preparing reports and creating sales and work orders and insuring their timely closure.</li><li>Documentation Management: Handle all sales-related documentation, ensuring accuracy and compliance with company policies and export regulations.</li><li>Client Coordination: Serve as a liaison between clients and reporting managers, addressing inquiries, providing timely updates, and ensuring a high level of customer satisfaction around the clock.</li><li>Interdepartmental Communication: Coordinate with various departments such as logistics, finance, and marketing to streamline processes and resolve any issues related to sales department and its operations.</li><li>Data Management: Maintain and update client databases, sales records, and inventory lists using ERP systems and Microsoft Office applications.</li><li>Reporting: Prepare and present regular reports on sales activities, client feedback, and other relevant metrics to the Sales Manager and Chief Sales Officer.</li></ul><div>
Qualifications:</div><ul><li>Education: Bachelor's degree or diploma in Administration, Management, or a related field.</li><li>Experience: Minimum of 2 years in an administrative or assistant role within the automotive, logistics, or consultancy sectors. Experience in the automobile industry is preferred.</li><li>Technical Skills: Mandatory proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with ERP systems. Ability to manage complex Standard Operating Procedures (SOPs).</li><li>Language Skills: Fluent in English; proficiency in Arabic or French is advantageous. Knowledge of Hindi or Urdu is a plus.</li><li>Soft Skills: Strong organizational skills, attention to detail, Handling clients confidently, excellent communication abilities, and the capacity to handle multiple tasks efficiently</li></ul><div>
Additional Information:</div><ul><li>Driving License: Required.</li><li>Travel Requirements: Not at the moment.</li><li>Interview Process: Two rounds one with the Sales Manager and another with the Chief Sales Officer.</li></ul></div><div></div>

Sales Assistant

Maintain accurate books of accounts and ensure timely month-end and year-end closing</li><li>Prepare and review journal entries, accruals, provisions, and reconciliations</li><li>Perform bank reconciliations, GL reconciliations, and intercompany reconciliations</li><li>Assist in preparation of monthly, quarterly, and annual financial statements</li><li>Support budgeting, forecasting, and variance analysis activities</li><li>Handle accounts payable and receivable, including invoice verification and aging analysis</li><li>Ensure compliance with statutory requirements (VAT, withholding tax, income tax, etc. as applicable)</li><li>Coordinate with auditors during internal and external audits and provide required documentation</li><li>Support preparation of management reports and MIS</li><li>Ensure adherence to internal controls, accounting policies, and procedures</li><li>Assist in system-related activities (ERP/SAP preferred) and process improvements</li></ul></div><div></div>

Finance Team Lead

Key Responsibilities</b></div><div><b>
1. Invoice Generation &amp; Receipts</b></div><div>
Prepare, review, and issue customer invoices accurately and on time.</div><div>
Ensure invoices comply with approved sales orders, contracts, and company policies.</div><div>
Record customer receipts (local and international) and allocate payments correctly in the accounting system.</div><div>
Maintain accurate and up-to-date accounts receivable records.</div><div><b>
2. Customer Management &amp; Reconciliation</b></div><div>
Maintain strong relationships with customers and communicate regularly regarding outstanding balances.</div><div>
Reconcile customer statements and resolve discrepancies promptly.</div><div>
Follow up on overdue receivables and support collection efforts for timely recovery.</div><div>
Address customer billing queries, disputes, and adjustments professionally.</div><div><b>
3. Financial Reporting &amp; Compliance</b></div><div>
Assist in month-end and year-end closing by preparing AR reports, aging analysis, and reconciliations.</div><div>
Ensure compliance with VAT regulations, tax requirements, and internal audit policies related to receivables.</div><div>
Support internal and external audits by providing required AR documentation and explanations.</div><div><b>
4. Process Improvement &amp; Cash Flow Management</b></div><div>
Identify opportunities to streamline accounts receivable and collection processes for increased efficiency.</div><div>
Support cash flow management by monitoring receivable aging and forecasting collections.</div><div>
Assist in strengthening internal controls related to billing, receipts, and customer credit management.</div><div></div><div><b><br>
Required Skills &amp; Qualifications</b></div><div>
Proven experience in accounts receivable, finance, or related roles.</div><div>
Strong knowledge of invoicing, payment processing, and reconciliation.</div><div>
Familiarity with accounting systems and ERP software.</div><div>
Understanding of VAT, tax regulations, and internal audit requirements.</div><div>
Excellent communication, analytical, and problem-solving skills.</div><div>
