Operating under limited supervision, this position plays a pivotal role in delivering comprehensive administrative and clerical assistance to the Corporate Procurement Team. The incumbent is responsible for facilitating a broad range of essential functions that support the overall operations of the Procurement Department. In addition to these primary duties, the role extends support to various other departments throughout the organization on all matters pertaining to Vendor Management. This includes ensuring that all vendors are accurately and efficiently entered into the company&rsquo;s systems, as well as providing guidance to direct vendors to the appropriate employees or departments according to onboarding needs. Through meticulous attention to detail and adherence to established procedures, this position upholds the integrity of the vendor onboarding process and fosters effective interdepartmental collaboration, thereby supporting the organization&rsquo;s goal of maintaining strong vendor relationships and operational excellence.MAIN RESPONSIBILITIES<ul><li>Serves as the primary liaison via email and telephone between external vendors and internal corporate departments.</li><li>Collaborates with various departments to coordinate the vendor re-onboarding process for existing partners.</li><li>Provides support to accounts payable regarding vendor management issues, ensuring prompt payment to all vendors.</li><li>Monitors and maintains current vendor documentation in accordance with company policies.</li><li>Assists vendors, internal team members, and the Ariba team by addressing technical inquiries during onboarding.</li><li>Maintains all necessary documentation for vendor verification and audit compliance.</li><li>Updates the Vendor Management spreadsheet to facilitate effective tracking of ongoing tasks.</li><li>Consistently demonstrates customer service excellence and upholds confidentiality in all job responsibilities.</li><li>Performs additional duties as assigned, supporting role development within the Administrative Department.</li><li>Function as back-up for the Purchasing Clerk and other Administrative Team members as required.</li></ul>EDUCATION &amp; EXPERIENCE<ul><li>Associate&rsquo;s degree or higher.</li><li>Minimum 2 years' experience in Procurement, Accounting, Sales, Project Management, or Customer Service.</li><li>Equivalent education and/or experience considered.</li><li>Spanish bilingual required.</li></ul>KNOWLEDGE, SKILLS &amp; ABILITIES<ul><li>The role necessitates a proven capacity to coordinate and maintain effective purchasing systems and procedures.</li><li>Candidates must possess advanced skills in accurate interpreting and making decisions in alignment with relevant laws, regulations, and organizational policies.</li><li>Rapid adaptability, flexibility, and adept problem-solving abilities are required.</li><li>Strong collaborative competencies are crucial for engaging with executive leadership, management, and staff at every level.</li><li>Outstanding customer service skills are mandatory.</li><li>Proficient oral and written communication in both Spanish and English is essential.</li><li>Exceptional organizational acumen and professionalism under pressure are critical due to extensive email correspondence.</li><li>Advanced proficiency in Teams, Microsoft Excel, Word, and Outlook is expected.</li><li>Attention to detail and a high degree of accuracy are indispensable when managing substantial workloads.</li><li>Ability to swiftly learn Vendor Portals and provide knowledgeable support for vendor onboarding inquiries is necessary.</li><li>Exemplary communication expertise and the ability to represent the company professionally are fundamental requirements.</li><li>Regular follow-up on emails and resolution of vendor issues is anticipated.</li><li>Upholding strict confidentiality at all times is imperative.</li></ul>Our Full Benefits Package includes Medical, Dental, and Vision insurance, Life insurance and AD&amp;D Insurance, Short-Term and Long-Term Disability Insurance, and Flexible Spending Accounts. Purchasing Clerk | Bilingual: ENG/SPA | Salary up to $25.00hr

This position purchases and maintains spare parts inventory and keeps track of all purchasing and budget data for department.&middot; Complies and enters preventive maintenance and downtime into Mobile Frame for the purpose of tracking, trending, and reporting.&middot; Tracks maintenance budget and performs clerical duties for the maintenance department.&middot; Tracks and controls components sent out for repair.&middot; Inventories part bins and spaces on daily basis, orders parts when quantities are a minimum, maintains inventory at established minimums.&middot; Orders parts as indicated by the &ldquo;parts usage form&rdquo; and/or purchase orders, coordinates to avoid duplicate orders.&middot; Performs search and discovery of PO&rsquo;s documents and transactions in the event there are problems with invoicing or payment. Works closely with Account Payable to resolve payment problems.&middot; Periodically checks competitor costs on like items to insure best pricing.&middot; Conducts formal quarterly and annual inventories, participates on inventory audits.&middot; Ships and receives department parts as required.&middot; Responsible for maintaining and updating an accurate MSDS catalog, department records, and others as directed&middot; Responsible for removal of department hazardous waste such as, used oil, solvent, and inks. Has these items removed by a licensed hauler. Ensures proper manifests are completed and filed.&middot; Ensure all Contractors are Licensed, and files are maintained to work be completed. (i.e., Refrigerate, Air compressor, etc.)&middot; Conducts Physical Spare Parts Inventory on a Quarterly basis.&middot; Tag and Label all inventory parts according to Work Instructions.&middot; Ensures paper flow of Maintenance computer programs/ Maintenance work orders are completed and filed daily and reports printed weekly or as needed.&middot; Performs other duties as assigned.EDUCATION &amp; EXPERIENCEHigh School diploma, GED or equivalent required. College Degree preferred.
