Job Summary We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executives. This paid position offers an exciting opportunity to contribute to high-level organizational success while honing your administrative expertise.Responsibilities<ul><li>Manage and maintain detailed calendars, including scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.</li><li>Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy through proofreading and transcription.</li><li>Coordinate projects and events from planning stages through execution, ensuring deadlines are met and resources are allocated efficiently.</li><li>Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval.</li><li>Serve as the first point of contact via multi-line phone systems and demonstrate excellent phone etiquette when communicating with clients, vendors, and team members.</li><li>Assist with personal tasks as needed, including scheduling personal appointments or errands to support busy executives.</li><li>Oversee front desk responsibilities, including greeting visitors and managing office supplies to ensure a professional environment.</li></ul>Skills<ul><li>Proven experience as an executive assistant or personal assistant with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and the use of AI tools to assist with ongoing development of content and collateral used for business purposes.</li><li>Excellent typing speed and data entry skills for efficient document preparation and record keeping.</li><li>Strong project coordination abilities with attention to detail in event planning and task execution.</li><li>Exceptional communication skills with professional phone etiquette and customer service orientation.</li><li>Ability to multitask effectively while maintaining accuracy in clerical tasks like filing, proofreading, transcription, and data entry.</li><li>Familiarity with office equipment such as multi-line phone systems, fax machines, scanners, and office furniture setup.
