The Shared Services <b>Support Specialist</b> provides day-to-day administrative, reporting, and coordination support for the Restaurant Solutions (RS) team.</div><div><br>
</div><div>This role is focused on basic project management support, execution, and accurate collection and maintenance of data, preparing reports, managing lists, following up on quotes, and supporting communications and logistics. The ideal candidate has a high attention to detail, is customer-oriented, organized, and responsive, with the ability to handle multiple short-term tasks that directly support the success of RS programs and initiatives.</div><div></div><div><b><br>

Responsibilities:

What you will do:</b></div><br>

Project Management Support</li><li><ul><li>
Support key project management activities, including task tracking, milestone follow-up, meeting preparation, documentation, and status reporting.</li><li>
Assist with business process mapping to document current-state and future-state workflows, decision points, handoffs, and role clarity.</li><li>
Support process development, changes, and optimization by documenting requirements, updating process materials, and coordinating feedback across stakeholders.</li></ul></li></ul><br>

Systems, Data &amp; Analytical Support</li><li><ul><li>
Onboard and maintain Arrowstream Supply Chain system and backup support for supplier, item, and pricing management with Category Management team.</li><li>
Assist with ad hoc communications development, including product announcements, supplier updates, and commitment communications.</li><li>
Support phone survey execution for new store/remodel projects and other RS initiatives.</li><li>
Maintain and analyze member data to support targeted sales or marketing campaigns, research, and program development.</li><li>
Provide reporting and insights to support RS program performance and decision-making.</li><li>
Provide support with Project Charter maintenance and communication.</li><li>
Support audit needs and feedback by gathering inputs, organizing backup documentation, tracking requested items, and incorporating audit feedback into action plans or process updates.</li><li>
Maintain key PM support tools and documentation, such as project charters, action logs, risk/issue trackers, timelines, and communication materials as needed.</li></ul></li></ul><br>

Administrative Support</li><li><ul><li>
Manage and maintain New Store &amp; Remodel Solution accounting invoicing, crediting and tracking processes
</li><li>Conduct quote follow-ups via phone and email for new store/remodel projects and other growth initiatives.</li><li>
Work collaboratively with internal teams to route franchisee requests such as quote updates, quote revisions, or escalations.
</li><li>Collect and submit weekly RS board report in collaboration with the team.</li><li>
Assist with franchisee meeting preparation (bi-annual):</li><li><ul><li>
Source internal data to create reference sheets for multiple meetings each cycle.</li><li>
Assist in drafting meeting-specific to-do lists.</li></ul></li><li>
Manage logistics and communications for in-person training events in partnership with the Equipment Maintenance Category Manager (registration, confirmations, reminders, post-event follow-up).</li><li>
Provide support as needed for Category Management and New Store/Remodel Solution teams</li></ul></li></ul><br>

Marketing/Communications Support</li></ul><ul><li>
Assist with preparing and distributing member communications (email campaigns, newsletters, flyers, SMS messages, etc.).</li><li>
Support the maintenance of the marketing/communications calendar.</li></ul><p></p><div><b><br>

Qualifications:

What you bring:</b></div><br>

Bachelor&rsquo;s degree or equivalent work experience in business, marketing, communications, or related field.</li><li>
1-3 years of experience in an administrative, coordinator, or specialist role.</li><li>
Strong organizational skills with attention to detail and accuracy.</li><li>
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); experience with Smartsheet or CRM systems is a plus.</li></ul><ul><li>
Comfort working with data&ndash;collecting, cleaning, and preparing for reporting.</li><li>
Able to handle multiple priorities in a high-pressure environment</li><li>
Proven ability to communicate effectively with diverse audiences and work associates</li><li>
Experience working in a supply chain, franchise, and/or food service environment is a plus</li></ul><div></div><div><b><br>

Responsibilities:

1. Responsible for direction and coordination of route drivers to ensure maximum performance relative to product delivery, service, and good customer relations
</div><div>2. Ensure customer complaints are investigated and resolved related to in-store service and delivery
</div><div>3. Ensures full compliance with all company quality assurance standards
</div><div>4. Develops annual cost savings initiatives that are aligned with the company's strategic plan
</div><div>5. Manage the department&rsquo;s annual operating budget and assist in cost analysis
</div><div>6. Oversee the hiring, supervision, scheduling, and termination of personnel.
</div><div>7. Effectively schedules, supervises, and directs transportation personnel
</div><div>8. Monitors Driver performance weekly through Motive and Ortec. Counsels Drivers on performance issues and areas for improvement.
</div><div>9. Creates a team-oriented environment by developing supervisors, conducting performance appraisals, and communicating updates to processes, procedures, and policies
</div><div>10. Ensures that personnel understand and implement safety and regulatory policies and procedures
</div><div>11. Manage fleet utilization, tracking status of vehicle/equipment, monitoring equipment on the Out of Service report, and holding all equipment service providers accountable for repairs identified within DVIRs and PM&rsquo;s.
</div><div>12. Ensures compliance with DOT hours of service by giving immediate feedback and taking corrective action when they become aware of HOS issues. Supervisors will utilize the NDCP standard disciplinary action outlined by the driver&rsquo;s expectations that corresponds to the risk of the violation.
</div><div>13. Works with the Safety Manager on proper safe driving techniques while using the Motive AI Cameras system to identify risky behaviors, proper lifting, and training in all required DOT regulations.
</div><div>14. Performs other duties as assigned</div><div></div><div><br>
Supervision exercised: Yes; this role will supervise Transportation Supervisors, a team of 3, with oversight of a department of approximately 90+ associates that includes Drivers, Delivery assistants, and Dispatch.</div><br>

Qualifications:
<ul><li>BS/BA preferred</li><li>
5-7 years of multi-state transportation management experience in the food distribution industry</li><li>
Demonstrated mastery of the Federal Motor Carrier Rules and Regulations</li><li>
Knowledgeable of related OSHA standards and regulations</li><li>
Proficient in Microsoft Office software, including Outlook, Word, and Excel</li><li>
Manhattan Active and SAP experience preferred.</li><li>
On Board Computer System Experience required, Motive preferred.</li><li>
Prior experience with routing software, Ortec preferred.</li><li>
Experience with 3rd-party maintenance vendors</li><li>
Excellent verbal and written communication skills</li><li>
Strong leadership and decision-making capabilities required</li><li>
Excellent interpersonal and collaboration skills required</li><li>
Willing and able to work flexible/extended work schedules, as needed</li><li>
Class A CDL preferred</li></ul><div><br>
