This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant work environment.Duties<ul><li>Manage and coordinate appointment scheduling for multiple departments using calendar management tools.</li><li>Answer multi-line phone systems promptly with professional phone etiquette, directing calls accurately and courteously.</li><li>Maintain organized filing systems, both physical and digital, including data entry and record keeping using Microsoft Office, Google Workspace, and other office management software.</li><li>Provide exceptional customer support by addressing inquiries, confirming appointments, and assisting clients or patients with scheduling needs.</li><li>Support front desk operations by greeting visitors, managing check-in procedures, and ensuring a welcoming environment.</li><li>Assist with clerical tasks such as proofreading documents, preparing correspondence, and maintaining accurate records.</li><li>Handle office management duties including supply inventory, filing systems, and supporting team members with administrative tasks as needed.</li><li>A scheduling coordinator manages calendars, appointments, and staffing to ensure operations run smoothly. They act as a central logistics hub, coordinating resources, handling rescheduling, and keeping all stakeholders informed of timelines, shifts, and commitments.</li><li>Residents Appointments: Booking new resident appointments, handling cancellations, and maintaining a full, productive schedule for administrator.</li></ul>Corporate &amp; Business<ul><li>Executive Support: Managing calendars for managers and executives, arranging meeting venues, and booking travel accommodations.</li><li>Communications: Sending meeting reminders, fielding emails/calls, and ensuring everyone affected is notified of schedule changes.</li></ul>Education &amp; Non-Profits<ul><li>Business Management</li><li>Certified Nursing Assistant or Experienced Caregiver</li></ul>Key Skills Required<ul><li>Organization: Balancing competing priorities and avoiding scheduling conflicts.</li><li>Software Proficiency: Using calendar software, project management tools, and spreadsheets.</li><li>Communication: Communicating clearly with staff, patients, clients, and vendors to resolve issues rapidly.</li><li>Insurance &amp; Treatment: Verifying insurance eligibility, explaining treatment plans, and collecting necessary paperwork before visits.</li><li>Staff Rostering: Assigning nurses, aides, or doctors to shifts and quickly finding coverage for last-minute call-outs. Taking call for call offs and covering shifts.</li></ul>Requirements<ul><li>Proven experience in office management or administrative roles with strong organizational skills.</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.</li><li>Excellent phone etiquette with experience managing multi-line phone systems.</li><li>Previous experience as a medical receptionist or personal assistant is advantageous.</li><li>Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.</li><li>Clerical experience involving filing, proofreading, and calendar management is highly desirable.</li><li>Knowledge of QuickBooks or bookkeeping experience is beneficial for handling basic financial tasks.</li><li>Demonstrated customer service skills with a friendly demeanor and professional attitude.
