 New York Pilates is looking for a detail-oriented and proactive Accounts Payable &amp; Finance Associate to bring our AP function in-house. This role will take ownership of bill pay while expanding support across broader finance operations&mdash;providing stronger visibility, accuracy, and partnership with the business.
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 This is an opportunity to build and optimize internal processes, improve financial tracking, and collaborate closely with leadership on day-to-day financial operations.
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 This is a full-time, U.S. based position, with required availability during EST hours; strong preference for candidates based in NYC.

 The Role
 
 
 
 
 
 
 
 
 
 
 
 
 
 Accounts Payable (Core Focus)

 Own end-to-end AP process: invoice intake, coding, approvals, and payment execution

 Manage vendor relationships and maintain accurate records

 <li>
 
 
 
 
 
 
 Ensure timely and accurate bill payments, avoiding late fees or discrepancies

 <li>
 
 
 
 
 
 
 Monitor cash outflows and flag any irregularities or risks
 
 
 
 
 
 
 </li>
 </ul>
 
 
 
 
 
 
 
 Financial Operations Support

 Assist with weekly cash flow tracking and reporting

 Support month-end close (reconciliations, accruals, documentation)

 <li>
 
 
 
 
 
 
 Maintain accurate financial data within accounting systems (e.g., QuickBooks)
 
 
 
 
 
 
 </li>
 <li>
 
 
 
 
 
 
 Partner with leadership to improve visibility into spend and budgeting
 
 
 
 
 
 
 </li>

 Process Improvement &amp; Controls

 Build and refine AP systems, workflows, and approval processes

 Establish checks and balances (especially if structured as a part-time team)

 Identify inefficiencies and recommend scalable solutions

 Ensure compliance with internal policies and accounting best practices

 What We&rsquo;re Looking For

 <li>
 
 
 
 
 
 
 2-4 years of experience in Accounts Payable, Bookkeeping, or Finance Operations
 
 
 
 
 
 
 </li>
 <li>
 
 
 
 
 
 
 Strong attention to detail and organizational skills
 
 
 
 
 
 
 </li>
 <li>
 
 
 
 
 
 
 Experience with accounting software (QuickBooks preferred)
 
 
 
 
 
 
 </li>
 <li>
 
 
 
 
 
 
 Comfortable managing high-volume transactions with accuracy
 
 
 
 
 
 
 </li>
 <li>
 
 
 
 
 
 
 Direct experience working closely with and reporting directly to senior leadership, with the ability to communicate financial insights clearly and concisely.
