Executive Assistant &ndash; Commercial Real Estate &amp; Business Operations(Detail-Driven, Systems-Focused Role)Position OverviewWe are seeking a highly detail-oriented, systems-minded Executive Assistant to support a Commercial Real Estate Advisor and entrepreneur with an active brokerage practice and a growing portfolio of car wash businesses.This role is ideal for someone who thrives on organization, process creation, and follow-through. You will work closely with a fast-moving decision maker and be responsible for bringing structure, consistency, and execution to a wide range of projects.If you enjoy taking ideas and turning them into repeatable systems, keeping complex workflows on track, and being the person who ensures nothing falls through the cracks, this role will be deeply rewarding.No two days are the same!Core Responsibilities<ul><li>Prepare Opinions of Value and assist with listing and transaction materials</li><li>Manage DocuSign workflows and transaction documentation</li><li>Coordinate property tours, showings, inspections, and client meetings</li><li>Track contract deadlines, follow-ups, and transaction milestones</li><li>Build, document, and refine internal systems and workflows</li><li>Maintain CRM accuracy and manage databases, call lists, and lead tracking</li><li>Manage and delegate to remote virtual assistant</li><li>Coordinate mailers and handwritten outreach campaigns</li><li>Assist with implementing and tracking car wash marketing initiatives</li><li>Handling screening and initial interviews of car wash employees</li><li>Handle accounts payable, bill payment, and basic administrative finance tasks</li><li>Coordinate with bookkeeper and accountant</li><li>Update and maintain Wix websites</li><li>Run occasional local errands and attend meetings or showings as needed</li></ul>What Success Looks Like in This Role<ul><li>Systems are documented, repeatable, and improving over time</li><li>Deadlines are met without reminders</li><li>Information is organized and easy to access</li><li>The advisor can move quickly, confidently, and strategically because execution is handled with precision</li></ul>Required Qualifications<ul><li>Prior real estate industry experience (required)</li><li>NH Real Estate License (required)</li><li>Exceptional organizational skills and attention to detail</li><li>Strong written and verbal communication skills</li><li>Ability to manage multiple priorities independently</li><li>Proficiency in Microsoft Word and Excel</li><li>Comfortable creating structure in a fast-paced environment</li></ul>Work Schedule &amp; Location<ul><li>In-office Monday&ndash;Friday</li><li>9:00-2:00</li><li>Mileage reimbursed for errands and showings (2025 IRS rate: $0.70/mile)</li></ul>Why This Role?<ul><li>Work directly with a high producing commercial real estate advisor</li><li>Gain exposure to entrepreneurship and business ownership beyond traditional brokerage</li><li>Play a critical role in building systems that scale</li><li>High level of responsibility with room to grow</li><li>Varied, engaging work where precision truly matters</li></ul>This role is best suited for someone who is highly detail-oriented and process-driven.You&rsquo;ll thrive if you:<ul><li>Enjoy creating systems, checklists, and repeatable processes</li><li>Take pride in accuracy, organization, and follow-through</li><li>Like supporting a fast-moving decision maker</li><li>Want to learn!</li></ul>This role may not be the best fit for someone seeking a highly social or sales focus position.Pay: $25.00 - $30.00 per hourWork Location: In person
