We are seeking a highly organized, detail-driven Clerical &amp; Administrative Specialist II who can balance structured administrative work with warm, empathetic service to families. This position supports both front-office and back-office functions, including contract processing, financial documentation, vendor coordination, and daily office operations.
The ideal candidate thrives in a fast-paced environment, enjoys working with numbers and documentation, and brings a calm, professional presence when interacting with grieving families and internal departments.
Responsibilities
<ul><li>Accurately post contracts and ensure all required documents, payments, and aftercare tasks are completed.
</li><li>Process contract amendments, including pricing adjustments, service changes, and internal updates.
</li><li>Issue refunds in accordance with company protocols and documentation standards.
</li><li>Prepare and post write-offs following proper approval workflows.
</li><li>Maintain complete, compliant digital and physical case files for funeral and cemetery operations.
</li><li>Review, code, and submit vendor invoices for timely payment.
</li><li>Coordinate with internal departments to resolve discrepancies or missing documentation.
</li><li>Assist with credit card reconciliation, including receipt collection and transaction tracking.
</li><li>Support internal audits by organizing and providing required documentation.
</li><li>Maintain exceptional accuracy in all financial entries to reduce errors and rework.
</li><li>Answer and route incoming calls with professionalism, empathy, and clarity.
</li><li>Greet and assist families visiting the funeral home or cemetery office; direct them to appropriate staff or provide immediate support.
</li><li>Receive payments for services, merchandise, or property; issue receipts and follow cash-handling procedures.
</li><li>Provide compassionate, service-oriented support to families during sensitive and emotional moments.
</li></ul>Compensation: $22-25/hr.
Qualifications
<ul><li>5+ years of administrative or clerical support experience.
</li><li>Strong attention to detail, especially with numerical accuracy and data entry.
</li><li>Ability to manage confidential and sensitive information with discretion.
</li><li>Comfort working in a funeral/cemetery environment and interacting with grieving families.
</li><li>Proficiency with Microsoft Office; experience with HMIS/Archimedes is a plus.
</li><li>Excellent communication and interpersonal skills.
</li><li>Strong organizational habits and ability to prioritize multiple tasks in a fast-paced setting.
</li><li>Valid driver&rsquo;s license.
</li><li>Receptionist or front-desk experience preferred.
