This paid position offers an exciting opportunity to develop your skills in office management, customer service, and administrative support within a collaborative setting.Duties<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.</li><li>Connect with the accounting team to establish daily goals / tasks.</li><li>Operate multi-line phone systems to handle incoming calls efficiently while providing excellent customer support.</li><li>Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools, ensuring quick retrieval of information.</li><li>Perform data entry tasks accurately, including invoicing, bookkeeping using QuickBooks, and updating client or patient records.</li><li>Support calendar management by scheduling appointments, meetings, and coordinating personal or professional commitments for team members.</li><li>Assist with office management duties such as ordering supplies, managing office equipment, and overseeing general administrative tasks.</li><li>Proofread documents for accuracy and clarity to ensure high-quality communication across all channels.</li><li>Provide clerical support including photocopying, faxing, mailing, and maintaining a tidy workspace to promote productivity.</li><li>Offer exceptional customer service by responding promptly to inquiries and supporting clients or patients in person or over the phone.</li><li>Support specialized roles such as medical or dental receptionist duties when needed, including patient check-in and appointment confirmations.</li></ul>Experience<ul><li>Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.</li><li>Prior experience using QuickBooks for bookkeeping or financial recordkeeping is highly desirable.</li><li>Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.</li><li>Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail.</li><li>Strong typing skills combined with effective time management to meet deadlines consistently.</li><li>Previous roles as a receptionist&mdash;medical, dental, or general&mdash;are advantageous for understanding front desk operations and phone etiquette.</li><li>Experience supporting personal assistants or managing calendars enhances your ability to coordinate schedules seamlessly.
