We&rsquo;re looking for a Office Assistant to support our team by streamlining office processes and ensuring seamless day-to-day operations. (Northland and Companies will be moving to South St. Paul end of August/beginning of September 2026.) 
Key Responsibilities:
<ul>
<li>Greeting clients and visitors as needed.</li>
<li>Performing general office clerk duties and errands.</li>
<li>Process bank deposits using remote deposit machine then post in accounting system.</li>
<li>Track maintenance, cleaning, oil changes, license plate renewals for all company vehicles.</li>
<li>Stocking and working with Inventory.</li>
<li>Meet with the CFO to receive coaching and support to continually improve and grow.</li>
<li>Back up the CFO in staff commission calculations.</li>
<li>Assist in the preparation and shipping of items for trade shows/conferences.</li>
<li>Assist with entering accounts payable into the accounting system.</li>
<li>Assist with miscellaneous departmental projects.</li>
<li>Assist with Company errands as necessary.</li>
<li>Assist with shipping and receiving.</li>
<li>Assist with making internal staff travel reservations.</li>
<li>Back up the Accounts Administrator in ZephyrTec responsibilities.</li>
<li>Sales data entry and Excel spreadsheet management.</li>
<li>Place, track and document all purchase orders with various vendors according to established Northland Business Systems procedures.</li>
<li>Process daily mail &ndash; scan to save in mail file, file hard copy for the President/CEO&rsquo;s review, handle items needing immediate attention.</li>
<li>Maintaining office equipment as needed.</li>
<li>Helping organize and maintain office common areas, the kitchen, and the 
warehouse.</li>
</ul>
What We&rsquo;re Looking For:
<ul>
<li>2-4 years minimum office experience</li>
<li>Excellent organizational skills &amp; ability to multitask</li>
<li>Knowledgeable in and be skilled at using Outlook, Teams, Word, Excel and any 
other programs that meet company needs 
</li>
<li>Ability to possess excellent verbal and written communication skills 
</li>
<li>Ability to follow standard procedures 
</li>
<li>Ability to exhibit composure, patience, and confidence when facing difficult 
situations 
</li>
<li>Ability to maintain a helpful and positive attitude 
</li>
<li>Be a self starter who is comfortable working independently 
</li>
<li>Ability to have a strong attention to detail 
</li>
<li>Willingness to be a self-starter by taking on a variety of tasks to best serve 
Northland Business Systems 
</li>
<li>Ability to be accurate and efficient</li> 
</ul>
