We strive to have fun working together to support our mission and dedicate time to team building, community involvement/volunteering, and personal and professional growth workshops.We are seeking a detail-oriented experienced Family Law Receptionist / Assistant to join our legal team. The ideal candidate will provide essential support in family law cases, ensuring smooth operations within the firm.RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:<ul><li>Greet clients, answer phone calls, complete client intake from start to finish in a professional manner.</li><li>Data entry into firm&rsquo;s data base(s) and customer relationship management software.</li><li>Manage and maintain attorney calendars including setting appointments, assisting in preparing for appointments/appearances and confirming appointments.</li><li>Meet with Partner on daily basis to discuss calendar for next day.</li><li>Meet with Partner on weekly basis to go over next week&rsquo;s calendar.</li><li>Assist with retrieval and drop off for attorneys and staff, as needed</li><li>Support attorneys and senior paralegal as needed.</li><li>Assist Partner with maintaining contact with network and referral sources through use of CRM.</li><li>Assist with posting approved social media content.</li><li>Work with firm&rsquo;s marketing consultant as need.</li><li>Organize and prepare legal documents for hearing binders, including creating tables of contents, printing, and binding.</li><li>Work with team to ensure timely completion of binders, typically within 7 days for Partner and longer for other attorneys; adjust deadlines if needed based on attorney priority.</li><li>Manage file closing procedures, ensuring proper organization and timely completion, which may take up to half a day depending on file size.</li><li>Check vendor statuses and input invoices to support efficient file closing and maintain organization.</li><li>Manage e-cards for firm.</li><li>Set up and take down of Conference Rooms for depositions and meetings.</li><li>Monitor and address expense discrepancies in Stamps.com.</li><li>Input data to ensure accuracy.</li></ul>POSITION REQUIREMENTS:<ul><li>Minimum of 3 years Receptionist/Assistant experience.</li><li>Preferred Family Law office experience.</li><li>Experience in operating standard office equipment such as a computer, photocopier, postage machine, and scanner.</li><li>Proficient in Microsoft 365 (specifically, MS Word, MS Excel &amp; Outlook).</li><li>Proficient Adobe Pro and Smokeball is preferred.</li><li>Must be a self-starter who is well organized and can handle multiple tasks with the ability to prioritize work.</li><li>Must be a team player with a positive attitude.</li><li>Must be reliable, responsible, and detail oriented.</li><li>Must be flexible and open-minded.</li><li>Excellent communication skills, both verbal and written with the ability to write professional correspondence(s) and emails.</li><li>Ability to work in fast paced environment while paying close attention to detail.</li><li>Professional appearance and demeanor.</li><li>Must be able to lift 50 lbs.</li><li>Onsite: Full time in person position</li></ul>Job Type: Full-timePay: $22.00 - $26.00 per hourBenefits:<ul><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Parental leave</li><li>Professional development assistance</li><li>Vision insurance</li></ul>Ability to Commute:<ul><li>Irvine, CA 92612 (Required)</li></ul>Ability to Relocate:<ul><li>Irvine, CA 92612: Relocate before starting work (Required)</li></ul>Work Location: In person
