The Associate Admissions Coordinator provides operational and administrative support to the Admissions team, ensuring accurate data management, reporting, and workflow efficiency throughout the admissions process. This role is responsible for maintaining prospective student records, supporting application processing, and assisting with inbound communication as needed.</div><div>
While primarily a behind-the-scenes function, the Admissions Coordinator may assist with student inquiries through phone, email, or chat and is expected to provide timely and professional responses when supporting incoming communication.</div></div><div></div><div><div><b><br>
A Day in the Life:</b></div><ul><li>

Completes certification process and associated training to develop concrete admissions knowledge.</li><li>
This role operates on a rotating schedule designed to support student needs throughout the week:</li></ul><ul><li>
Monday&ndash;Thursday: Typically, 9:00 AM &ndash; 6:00 PM, with one late shift per week (10:00 AM &ndash; 7:00 PM)</li><li>
Friday: 8:30 AM &ndash; 5:30 PM or 9:00 AM &ndash; 6:00 PM, based on coverage needs</li><li>
Occasional weekend availability may be required during key enrollment periods</li></ul><ul><li>
Maintain and update prospective student records within Anthology (CRM), ensuring data accuracy and completeness.</li><li>
Generate daily, weekly, and monthly reports to support Admissions performance and tracking.</li><li>
Support application processing and ensure all required documentation is complete and compliant.</li><li>
Assist the Admissions team with data entry, workflow management, and administrative tasks.</li><li>
Monitor and respond to inbound calls, emails, and inquiries, ensuring a high level of responsiveness (target 99% response rate).</li><li>
Provide general information and support to prospective students as needed during inbound interactions.</li><li>
Collaborate withAdmissions,Financial, and other departments to ensure smooth information flow.</li><li>
Support campus events, orientations, and admissions-related activities as needed.</li><li>
Maintain compliance with institutional policies, as well as state and federal regulations.</li><li>
Uphold professional communication standards and organizational expectations in all interactions.</li></ul><div><b>
Desired Skills:</b></div></div><div><ul><li>
Minimum of 2&ndash;3 years of experience in customer service, administrative support, data entry, or office coordination.</li><li>
Strong written and verbal communication skills, including professional phone presence.</li><li>
Ability to manage multiple tasks and priorities in a fast-paced, detail-oriented environment.</li><li>
High level of accuracy and attention to detail, particularly when working with data and documentation.</li><li>
Comfortable working in systems and maintaining data within a CRM (experience with Anthology or similar platforms preferred).</li><li>
Strong organizational and time management skills.</li><li>
Ability to work independently while also supporting a team environment.</li><li>
Reliable and responsive in handling inbound communication, including phone and email inquiries.</li><li>
General computer proficiency, including Microsoft Office and data entry systems.</li></ul><div><b>

Ability to Work Remotely: Remote employees must work from their designated home office and ensure secure access to company systems using a company-approved VPN and multi-factor authentication (MFA). A stable, high-speed Wi-Fi connection is required; mobile hotspots or other unreliable internet sources are not permitted due to security and connectivity concerns. Company-issued devices must be locked when not in use, and any personal devices used for work must comply with company security protocols.</div><div>
Work Schedules: Ogle School supports a variety of alternate work schedules that provide additional flexibility. For this role, there is a minimum 40-work week schedule, 5 days a week. The specific weekly schedule will be discussed during the hiring process.</div><div>

Provide training and leadership support to Ogle students through consistent observations, instruction and constructive interaction delivering quality curriculum content and implementation that supports Ogle-established education expectations.</p><p><b><i>
Responsibilities</i></b></p><ul><li>

Support the educational process to meet or exceed budgeted expectations in the areas of student retention and student attendance.</li><li>
Adhere to all statutes and regulations from Federal, State, and regulatory agencies, and adhere to all Company policies.</li><li>
Ensure student compliance with policy</li><li>
Maintain the integrity of all academic policies and regulations; interpreting the same to students, faculty, staff, and external customers.</li><li>
Ensure that the facility fosters a positive and respectful environment in which to train students and partner with staff in the best practices of customer service.</li><li>
Teach and actively assist students in preparing and passing the Texas Department of Licensing and Regulations, State Licensing Exam, TDLR, and in obtaining Career placement</li><li>
Ensure consistent student engagement through compact schedules of interactive learning activities and theory.</li><li>
Securely maintain all facility and all necessary supplies and tools to teach students and provide services for clinic guests</li><li>
Oversee and council student on their attendance daily.</li><li>
Monitor timelines and satisfaction for guest services coaching, evaluating and grading student performance on the clinic floor to achieve guest satisfaction, rebooking and product recommendations.</li><li>
Maintain and conduct student grades counseling students on their progress and ensuring knowledge and salon skill development fulfill the curriculum requirements</li><li>
Support the Company growth through constructive interaction and personal attendance at meetings, events, and other related functions. Admissions graduation and contests</li><li>
Provide additional support to company as assigned by senior management.</li></ul><p><b><i>
Minimum Requirements</i></b></p><ul><li>
Education: High School Graduate or equivalent</li><li>
Licenses: Texas Department of Licensing and Regulations, Licensed Operator, Licensed Esthetician, Licensed Instructor</li><li>
Proven record of successful supervisory experience in a people-oriented environment.</li><li>
Ability to <i>read</i>, analyze and interpret common industry-related journals, documents such as financial reports, operating and maintenance instructions, and policy and procedure manuals.</li><li>
Ability to write routine reports and correspondence.</li><li>
Ability to <i>clearly communicate </i>procedures, policies, and other information verbally, in writing and/or by demonstration, to students, staff, and/or management</li><li>
Ability to <i>respond </i>to common inquiries or complaints from guests, students, staff, regulatory agencies, or members of the business community.</li><li>

Physical Requirements</i></b></p><p>
While performing the duties of this job the associate is frequently required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The associate is regularly required to stand and/or walk for long periods. The associate is occasionally required to sit; or balance and stoop, kneel, or crouch.
