About the Role:
The Practice Manager will lead and oversee the daily operations of a family medical practice, ensuring efficient and effective delivery of healthcare services. This role is pivotal in managing staff, coordinating patient care, and optimizing practice workflows to enhance patient satisfaction and clinical outcomes. The Practice Manager will be responsible for financial management, including budgeting, billing, and revenue cycle oversight, to maintain the practice's financial health. Additionally, this position requires collaboration with healthcare providers and external partners to implement policies and procedures that comply with regulatory standards. Ultimately, the Practice Manager will drive continuous improvement initiatives to support the growth and sustainability of the practice while fostering a positive work environment for all team members.
Responsibilities:<ul><li>
Manage day-to-day operations of the family practice, including scheduling, staffing, and resource allocation.</li><li>
Oversee financial activities such as budgeting, billing, collections, and expense management to ensure profitability.</li><li>
Lead, mentor, and evaluate administrative and clinical staff to promote high performance and professional development.</li><li>
Ensure compliance with healthcare regulations, accreditation standards, and internal policies to maintain quality and safety.</li><li>
Collaborate with physicians and clinical teams to optimize patient flow, enhance service delivery, and improve patient experience.</li><li>
Implement and monitor practice management systems and electronic health records to streamline operations.</li><li>
Develop and execute marketing and community outreach strategies to increase patient volume and practice visibility.</li><li>
Address patient concerns and feedback promptly to maintain high levels of patient satisfaction.</li></ul>
Minimum Qualifications:<ul><li>
Associates in Healthcare Administration, Business Management, or a related field. Or directly related experience in lieu of education.</li><li>
Minimum of 3 years of experience in healthcare practice management or a similar leadership role.</li><li>
Strong knowledge of medical billing, coding, and healthcare regulatory requirements.</li><li>
Proficiency with electronic health record (EHR) systems and practice management software.</li><li>
Excellent communication, organizational, and leadership skills.</li></ul>
Preferred Qualifications:<ul><li>
Bachelors degree in Healthcare Administration or Business Administration.</li><li>
Experience managing a family medicine or primary care practice.</li><li>
Certification such as Certified Medical Practice Executive (CMPE) or Fellow of the American College of Medical Practice Executives (FACMPE).</li><li>
Familiarity with quality improvement methodologies and patient-centered care models.</li><li>
Experience with marketing and community engagement in a healthcare setting.</li></ul>

The Practice Manager will utilize leadership and interpersonal skills daily to motivate and guide a diverse team, ensuring smooth operations and high morale. Analytical and financial skills are essential for managing budgets, interpreting financial reports, and making data-driven decisions to improve practice profitability. Proficiency with EHR and practice management software enables efficient scheduling, billing, and compliance tracking. Strong communication skills facilitate effective collaboration with clinical staff, patients, and external partners, fostering a patient-centered environment. Additionally, problem-solving and organizational skills are critical for addressing operational challenges, implementing process improvements, and maintaining regulatory compliance.

The back office Medical Assistant assists the provider (Physician, Physician Assistant or Nurse Practitioner) in examination and treatment of patients by performing the following duties.
Essential Duties and Responsibilities:

Completes intake by welcoming patients and prepares patients for healthcare visit by placing patient in exam room, obtains medical history and verifies patient&rsquo;s information.</li><li>
Responsible for documenting a full and accurate set of vital signs.</li><li>
Populates all sections of the electronic medical record timely and accurately, including but not limited to allergies, medications, vaccines, social history and quality tab.</li><li>
Assists providers during examination and treatment, performing point of care tests appropriate to skill level, certifications and state regulations.</li><li>
Maintains supplies in storage areas and exam rooms.</li><li>
Disinfects, cleans treatment rooms following patient examinations; Maintains safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations.</li><li>
Conducts business in a service-oriented manner that is attentive, cooperative, sensitive and respectful with all patients, visitors and colleagues.</li><li>
Responsible for pre-visit planning per the standard operating procedure guidelines.</li><li>
Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, oxygen, etc.)</li><li>
Responsible to checking and addressing voicemails multiple times during the working day.</li><li>
Responsible for addressing inbox messages (buckets) in the electronic medical record for providers, provider staff and self.</li><li>
Back-up front office when needed including check in, check out, appointment scheduling and answering phones.</li><li>
Maintain a professional working relationship with vendors that support the practice.</li><li>
Follow HIPAA guidelines for all internal and external systems.</li><li>
Ability to communicate appropriately with awareness of surroundings and audience.</li><li>
Attends trainings and meetings as required.</li></ul>

Minimum Education and Experience:<ul><li>
High School Diploma or GED required.</li><li>
Must be a graduate of an accredited healthcare program, i.e. Medical Assistant, CNA, LPN, EMT or equivalent work experience required</li><li>
Maintain certifications per state guidelines</li><li>
Nationally recognized as a Certified Medical Assistant (CMA) strongly preferred</li><li>
Strong computer skills required. EMR experience preferred</li><li>
Some MA Experience required</li><li>
Current BLS card</li></ul>
Preferred Education/Experience:<ul><li>
1-3 years of experience in Family or Pediatrics</li><li>
Athenahealth practice management system</li></ul>
