The Agency Operations Specialist is responsible for ensuring smooth daily operations across all agency departments. This role focuses on maintaining workflow efficiency, improving internal processes, coordinating cross-functional communication, and supporting leadership with data-driven insights.Key Responsibilities<ul><li>Oversee daily operational activities and ensure tasks are executed according to agency SOPs.</li><li>Maintain and optimize internal workflows for departments including creator management, client servicing, outreach, and finance.</li><li>Track operational KPIs (campaign performance, creator activity, deliverables, approvals, delays, etc.) and present weekly/monthly reports.</li><li>Coordinate communication between teams to prevent bottlenecks and ensure timely execution of campaigns.</li><li>Lead project timelines, follow up on task progress, and manage deadlines across teams.</li><li>Assist in onboarding new team members and ensuring they understand workflows, SOPs, and tools used by the agency.</li><li>Manage agency tools and platforms (ClickUp, Airtable, HubSpot, TikTok Shop portals, CRMs).</li><li>Identify workflow issues and propose actionable solutions or process improvements.</li><li>Support finance operations by verifying metrics, payout reports, creator incentives, and monthly reconciliation.</li><li>Maintain documentation including SOPs, process updates, workflow maps, and performance reports.</li></ul>Requirements<ul><li>Proven experience in agency operations, project coordination, or administrative management.</li><li>Strong understanding of creator marketing, affiliate workflows, or TikTok Shop operations (preferred).</li><li>Excellent organizational, analytical, and multitasking skills.</li><li>Ability to create, maintain, and improve SOPs and workflows.</li><li>Strong communication and cross-team collaboration skills.</li><li>Proficiency in project management tools (ClickUp, Notion, Asana, Airtable).</li><li>Ability to work under tight deadlines with a high level of accuracy.</li></ul>Work Hours: 12PM &ndash; 9PM (PKT)How to Apply:Send your resume to hr@oneoffgroup.com &mdash; we review every application carefully.Work Location: In-house (I-8 Markaz)Job Type: Full-timeWork Location: In person
