Job Summary We are seeking a dynamic and highly organized Office Secretary to join our team! In this vital role, you will serve as the backbone of our administrative operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. The ideal candidate is proactive, tech-savvy, and possesses excellent communication skills, ready to handle a variety of clerical and administrative tasks with enthusiasm and professionalism.Responsibilities<ul><li>Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette.</li><li>Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.</li><li>Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software.</li><li>Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.</li><li>Coordinate calendar management and schedule appointments for staff members or executives.</li><li>Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative operations.</li><li>Proofread correspondence, reports, and other documents to ensure clarity and accuracy.</li><li>Provide customer support by responding to inquiries promptly and professionally via phone or email.</li><li>Handle clerical tasks such as filing, photocopying, scanning, and organizing documents efficiently.</li><li>Support personal assistant responsibilities when needed, including travel arrangements or special project coordination.</li></ul>Experience<ul><li>Prior office experience in administrative or clerical roles is required; experience in office management is highly preferred.</li><li>Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.</li><li>Familiarity with QuickBooks for bookkeeping tasks is a strong plus.</li><li>Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.</li><li>Strong communication skills with the ability to handle phone systems confidently and professionally.</li><li>Bilingual abilities are advantageous for supporting diverse client needs.</li><li>Proven time management skills to prioritize tasks efficiently while maintaining attention to detail.
