Role Overview
The Executive Assistant // Community Leader will serve as a trusted partner to leadership while also acting as the operational anchor for the client&rsquo;s member community and events. This role blends executive support, community management, and project coordination, making it ideal for a highly organized, proactive operator who thrives in fast-paced, detail-driven environments.
Your Impact<ul><li>
Ensure seamless executive operations that enable leadership to focus on strategic initiatives.</li><li>
Maintain and enhance member engagement, satisfaction, and retention through structured community operations.</li><li>
Deliver well-executed events, workshops, and training programs that support company growth objectives.</li><li>
Streamline workflows and internal processes to improve efficiency and operational excellence.</li><li>
Serve as a reliable point of contact for members, vendors, and internal teams, maintaining professionalism and accuracy across communications.</li></ul>
Core Responsibilities:
Executive Support
<ul><li>Draft, edit, and review executive communications, presentations, and reports.</li><li>
Manage the senior executive&rsquo;s calendar across multiple time zones.</li><li>
Coordinate meetings, agendas, and follow-ups with precision.</li><li>
Handle travel arrangements including accommodations and itineraries.</li><li>
Prepare materials and documentation to ensure executive readiness.</li></ul>
Community Leadership &amp; Member Operations
<ul><li>Maintain and manage the learning management system (WordPress + Learndash).</li><li>
Upload recordings, schedules, posts, and other member-facing content.</li><li>
Send communications to members and mailing lists via email and Mailchimp.</li><li>
Lead onboarding and member meetings using structured scripts while building rapport.</li><li>
Maintain accurate member records including payments, access, and renewal dates.</li></ul>
Event Coordination &amp; Project Management
<ul><li>Plan and execute training programs, workshops, and events end-to-end.</li><li>
Develop and maintain project plans, milestones, deliverables, and deadlines.</li><li>
Serve as the primary point of contact for vendors, clients, and event participants.</li><li>
Coordinate logistics, scheduling, and follow-ups to ensure high-quality execution.</li><li>
Collect post-event feedback and prepare timely reports.</li></ul>
Operational Efficiency &amp; Internal Coordination
<ul><li>Manage vendor and supplier relationships and related contracts.</li><li>
Maintain schedules and follow-up systems for vendors, members, and stakeholders.</li><li>
Identify and implement workflow improvements to enhance efficiency.</li><li>
Write and maintain SOPs and internal documentation.</li><li>
Support cross-functional coordination with marketing and client engagement teams.</li></ul> 
Requirements 
 
Key Requirements
Must-Haves (Required)<ul><li>
3&ndash;5+ years of experience as an Executive Assistant, Project Manager, Operations Associate, or similar role.</li><li>
Proven experience supporting senior leadership.</li><li>
Background in online community management or membership-based organizations.</li><li>
Proficiency with WordPress and LMS platforms such as Learndash.</li><li>
Exceptional organizational and time-management skills with strong attention to detail.</li><li>
Excellent written and verbal English communication skills.</li><li>
Ability to work independently and manage multiple priorities simultaneously.</li><li>
Bachelor&rsquo;s degree or equivalent professional experience.</li></ul>
Nice-to-Haves (Preferred)<ul><li>
Experience working with professional education, events, or training organizations.</li><li>
Familiarity with CRM platforms.</li><li>
Tech-savvy with the ability to adopt new tools quickly.</li><li>
Experience working remotely with distributed teams.</li></ul>
