To enable this, we are looking for a Operations Coordinator to take full ownership of our backend delivery engine.We&rsquo;re looking for a sharp, driven, and process-obsessed Operations Coordinator who can take charge of the back-end so the founder can stay focused on what matters&mdash;growth, content, and client impact. This is not a passive admin role. We want a solution-oriented executor who thrives on ownership, efficiency, and proactive coordination.Your Core ResponsibilitiesProgram &amp; Delivery Coordination<ul><li>Coordinate end-to-end logistics for smooth delivery of all training and coaching programs&mdash;online and offline</li><li>Liaise with freelance trainers to manage schedules, share materials, and track readiness</li><li>Create and maintain delivery calendars for all programs</li><li>Send reminders, joining links, pre-reads, and session follow-ups</li><li>Ensure delivery assets (decks, links, pre-reads, feedback forms) are managed and shared on time</li></ul>Client Operations<ul><li>Send proposals, follow up on logistics, and manage client communication templates</li><li>Create and maintain program trackers (attendance, feedback, action plans)</li><li>Ensure all client-facing material is delivered on time and accurately</li></ul>Documentation &amp; Process Control<ul><li>Maintain a live dashboard of all ongoing and upcoming projects</li><li>Keep master files updated (decks, formats, feedback forms, workbooks)</li><li>Organize and structure drive folders, materials, workbooks, and templates</li><li>Assist in prepping slides or documents as needed for program delivery</li><li>Ensure every program has pre/during/post documentation handled</li></ul>Founder Support (High-Leverage Tasks Only)<ul><li>Prepping decks/templates before sessions</li><li>Coordinating with accountant for client-wise billing status (no finance work required)</li><li>Coordinate between client, trainer, and back-end ops so the founder focuses on scale</li><li>Proactively solve issues, anticipate gaps, and escalate when needed&mdash;not when asked</li></ul>Must-Have Skills &amp; Qualifications<ul><li>Bachelor&rsquo;s degree in Business Administration, Human Resources, Industrial Psychology, or related fields</li><li>Strong verbal &amp; written communication in English</li><li>Proficient in Microsoft Office 365 (Outlook, Teams, Word, Excel) and Google Suite (Docs, Sheets, Slides, Drive)</li><li>Comfort using AI tools like ChatGPT, Perplexity, and Grok to increase efficiency and output</li><li>Highly organized with strong follow-through, daily checklists, and deadline tracking</li><li>Basic slide editing and document formatting (PPT, PDF, Google Slides, Canva)</li><li>Assertive communicator&mdash;can coordinate with confidence and clarity across multiple people</li><li>Works independently, doesn&rsquo;t wait for instructions, and owns results</li><li>Excellent interpersonal skills&mdash;can maintain calm and clarity in high-pressure moments</li><li>Proactive problem-solver who thrives in fast-paced, dynamic environments</li><li>Nice-to-Have Skills (Not Mandatory)</li></ul>What You&rsquo;ll Get<ul><li>Ownership of critical workstreams with direct visibility to the founder</li><li>Exposure to premium clients and leadership-level work</li><li>Clarity in tasks with full ownership of your role</li><li>Growth into a higher ops or program roles if you deliver consistently</li><li>A culture of excellence, accountability, and high performance</li></ul>Please note: This is a work-from-office role.
