Job Summary:The Shipping Operations Coordinator will be responsible for managing various shipping activities, including filing Verified Gross Mass (VGM), Shipping Instructions (SI), preparing shipping documents, and coordinating with internal units and Customs House Agents (CHA). This role requires a high degree of attention to detail, strong communication skills, and the ability to ensure the timely and compliant processing of shipments.Knowledge Required: shipping operations filing VGM, SI, make shipping documents and following up with our units and CHA.Key Responsibilities:<ul><li>Filing VGM (Verified Gross Mass):</li><li>Ensure the accurate and timely submission of the Verified Gross Mass for containers in compliance with international SOLAS regulations.</li><li>Verify the weight of the cargo and packaging and ensure the VGM data is provided to shipping companies or carriers before container loading.</li><li>Work with internal teams to collect the necessary weight data for shipment.</li><li>Maintain accurate records of VGM submissions and keep track of deadlines.</li><li>Shipping Instructions (SI):</li><li>Prepare and submit comprehensive shipping instructions to the shipping carriers.</li><li>Ensure that all necessary shipment details are included in the SI, such as consignee, delivery location, special handling requirements, and the nature of the goods.</li><li>Coordinate with relevant departments (e.g., sales, logistics, and warehousing) to ensure shipping instructions are complete and correct.</li><li>Making Shipping Documents:</li><li>Create and manage essential shipping documents, including:</li><li>Bill of Lading (B/L)</li><li>Commercial Invoice</li><li>Packing List</li><li>Certificate of Origin (if applicable)</li><li>Insurance Certificate (if applicable)</li><li>Ensure that all documentation complies with local and international regulations.</li><li>Liaise with other departments (finance, legal, etc.) to ensure that all required paperwork is in place for each shipment.</li><li>Review and verify the accuracy of documents before final submission.</li><li>Coordination with Internal Units:</li><li>Work closely with internal teams, including logistics, warehouse, and procurement, to ensure the smooth execution of shipping operations.</li><li>Monitor and follow up with internal teams to confirm that the necessary steps (e.g., cargo readiness, document preparation) are completed within the set timelines.</li><li>Ensure that all cargo is correctly packed, labeled, and ready for shipment according to the specified schedules.</li><li>Follow-Up with Customs House Agents (CHA):</li><li>Coordinate with the CHA to ensure that all customs clearance procedures are executed correctly and promptly.</li><li>Monitor the status of shipments and ensure compliance with customs regulations.</li><li>Ensure timely submission of required customs documentation and facilitate smooth communication with CHAs.</li><li>Resolve any issues related to customs clearance, including tariffs, duties, and necessary paperwork.</li><li>Tracking Shipments:</li><li>Track the progress of shipments and provide regular updates to stakeholders regarding the status of shipments.</li><li>Resolve any delays or issues with carriers, customs, or internal departments to ensure timely delivery.</li><li>Maintain a detailed tracking system for all shipments.</li><li>General Shipping Operations Support:</li><li>Provide ongoing support to the shipping and logistics team to ensure that all shipping processes run smoothly.</li><li>Respond to queries from internal teams, customers, and external partners regarding shipment status, documentation, and procedures.</li><li>Assist in troubleshooting and resolving any operational issues that may arise during the shipping process.</li></ul>Key Requirements:<ul><li>Education:</li><li>Bachelor's degree in Logistics, Supply Chain Management, Business, or related field.</li><li>Experience:</li><li>Minimum of 2-5 years of experience in shipping, logistics, or supply chain operations, particularly in handling international shipments.</li><li>Experience with filing VGM, preparing shipping documents, and coordinating with CHAs is highly desirable.</li><li>Skills:</li><li>Strong understanding of shipping documentation, including Bills of Lading, commercial invoices, packing lists, and certificates of origin.</li><li>Familiarity with customs regulations and the ability to liaise effectively with CHAs.</li><li>Attention to detail and ability to ensure compliance with international shipping regulations (SOLAS, customs, etc.).</li><li>Excellent organizational and communication skills.</li><li>Proficiency in shipping and logistics software (e.g., TMS, ERP systems).</li><li>Ability to work independently and manage multiple tasks under tight deadlines.</li><li>Knowledge:</li><li>Good understanding of VGM filing procedures, Shipping Instructions, and other shipping documentation.</li><li>Knowledge of international shipping standards and customs regulations.</li><li>Ability to handle communication between various departments and external partners.</li></ul>Key Competencies:<ul><li>Attention to Detail: Ability to handle complex documents and shipments with precision and accuracy.</li><li>Communication: Strong written and verbal communication skills for liaising with internal teams, external vendors, and CHAs.</li><li>Problem-Solving: Capable of identifying issues in the shipping process and finding efficient solutions.</li><li>Time Management: Ability to prioritize and manage multiple shipments and tasks simultaneously.</li><li>Teamwork: Ability to collaborate effectively with internal teams and external
