Work Hours: 


Our office hours are from Monday &ndash; Friday, 8:00 a.m. to 5:00 p.m. There is no set schedule for field personnel as work schedules vary depending on client needs. 


Position Overview: 


The Operations Administrator at Pref-Tech will be responsible 
assisting the 
Project Managers and operations staff with any administrative functions including but not limited to issuing purchase orders, creating project documentation such as data submittals, O&amp;M manuals, and warranty documents.

The following are tasks that the position is responsible for, but not limited to:
<ul>
<li>Procurement:</li>
</ul><ul><li>Enter Purchase Orders for Project Managers after they have sent you the BOM (Bill of Materials)</li>
</ul><ul><li>Track Order Confirmations</li>
</ul><ul><li>Vendor Information</li>
</ul>
 Liaise with Accounting team to ensure operations team compliance with the following:
<ul>
<li>Interface with AP regarding material procurement, receipt, and handling</li>
</ul><ul><li>Assist with pay apps</li>
</ul><ul><li>Enable assist with end-of-project closeout deliverables (warranties, O&amp;M manuals, etc.) 
</li>
<li>Enable/assist PMs with project deliverables (product data submittals, job-specific safety certs, job specific badging, etc.) 
</li>
</ul><ul><li>Schedule and maintain training records</li>
</ul><ul><li>Backup to Warehouse Associate (general receiving duties as needed)</li></ul> 


Desired Qualifications and Experience:
<ul>
<li>High School Diploma or GED Equivalent.</li>
</ul><ul><li>At least 2 
years 
relevant administrative experience.</li>
</ul><ul><li>Exceptional written and verbal communication skills.</li>
</ul><ul><li>Ability to hold others accountable to completing their assigned tasks, even if they hold positions of greater responsibility.</li>
</ul><ul><li>Fluency with Microsoft Office 365 software tools.</li>
</ul><ul><li>Willingness to take on new challenges and build on current skills.</li>
</ul><ul><li>Exceptional analytical and conceptual thinking 
skills.</li>
</ul><ul><li>Capacity to work independently and 
collaboratively.</li>
</ul><ul><li>Ability to work efficiently without compromising quality or 
accuracy.</li>
</ul>
