This paid position offers an exciting opportunity to be an integral part to the overall success of our CEO the ideal candidate will be dedicated to excellence and efficiency willing to grow with the company.Duties<ul><li>Manage and maintain calendars using Google Calendar to ensure optimal scheduling of meetings, appointments, and events.</li><li>Coordinate and plan events, meetings, and travel arrangements with attention to detail and timely execution.</li><li>Handle correspondence via phone, email, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette.</li><li>Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative files.</li><li>Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record-keeping.</li><li>Assist with office management duties including supply procurement, front desk responsibilities, and maintaining a welcoming environment.</li><li>Prepare reports, transcriptions, and presentations by utilizing Microsoft Office tools with high accuracy.</li><li>Facilitate project coordination by tracking deadlines, following up on action items, and ensuring timely completion of tasks.</li><li>Use office systems such as multi-line phone systems and DocuSign for signing documents electronically efficiently.</li><li>Provide executive administrative support by managing confidential information discreetly and efficiently.</li></ul>Requirements<ul><li>Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry software.</li><li>Strong typing skills combined with excellent proofreading and transcription abilities.</li><li>Experience with bookkeeping software such as QuickBooks is highly desirable.</li><li>Exceptional calendar management skills using tools like Microsoft Outlook Calendar or similar platforms.</li><li>Excellent communication skills with professional phone etiquette across multi-line phone systems.</li><li>Ability to handle multiple tasks simultaneously while maintaining attention to detail in a fast-paced environment.</li><li>Office management experience including filing systems, front desk duties, customer service, and clerical support.</li><li>Knowledge of office equipment including printers, scanners, phones, and office supplies inventory management.
